Job summary

Assisting Hands Irvine & Dana Point seeks an Assistant Staffing Coordinator to support recruitment and scheduling for our San Juan Capistrano office. You’ll match caregivers to clients based on needs and preferences, and communicate with caregivers, clients and health professionals daily.

This role involves interviews, onboarding, managing coverage, and assisting with payroll and invoicing. A minimum of 1 year in staffing or customer service is preferred, with strong telephone and organizational

Qualifications

• At least 1 year of staffing or customer service experience.
• Excellent telephone and interpersonal skills.
• Ability to multi-task and stay organized in a fast-paced environment.
• Independent problem solving is required.

Responsibilities

• Manage job posts and track applicant progress across platforms.
• Support interviews, selection and onboarding of new caregivers.
• Match caregivers to client cases based on personality, availability and skills.
• Arrange substitute/back-up coverage as needed for cases.
• Handle caregiver issues and scheduling changes.
• Identify sources for recruiting caregivers (job boards, fairs, etc.).
• Provide information about services to prospective clients.
• Maintain caregiver and client files and keep them up to date.
• Ensure CDSS compliance for all caregivers.
• Serve as backup contact for clients, caregivers, and providers.
• Assist management to resolve attendance or performance issues.
• Collaborate with Administrator on payroll hours and pay rates.
