You will assist students and alumni with career resources, resume/interview preparation, and internship opportunities, while strengthening workplace skills and professionalism.

Job description

Position Summary


The Office of Career Services Student Assistant provides administrative, customer service, and event support to help students and alumni with career exploration, resume and interview preparation, internship and employment opportunities, and career readiness programming. This position helps the student employee strengthen transferable workplace skills, build professionalism and leadership experience, and support the Career Services Center’s mission of preparing students for successful career outcomes after graduation.


Essential Duties and Responsibilities



  • Communicate professionally with students, alumni, employers, faculty, staff, and visitors in person, by phone, and through email to answer questions, take accurate messages, and provide assistance. | Daily 25%

  • Use Handshake to help schedule appointments, manage student requests, approve job postings from verified employers, and support office communications. | Daily 25%

  • Provide organized and accurate administrative support, including filing, organizing materials, maintaining office spaces, entering data, and supporting daily operations. | Daily 15%

  • Assist with survey administration, outreach, and accurate data collection for the First Destination Survey during the fall and spring semesters. | As needed 10%

  • Work with the Career Services team to support campus recruiting and employer events by setting up welcome and registration tables, greeting guests, managing sign‑ins, and assisting with event logistics. | As needed 10%

  • Represent the Office of Career Services professionally at Orientation programs, Welcome Stations, tabling events, and employer‑facing initiatives. | As needed 5%

  • Support the team in preparing and carrying out large‑scale Career Services events, including Career Fairs, employer programs, and related activities. | Monthly 5%

  • Provide limited front‑line Housing support as needed by monitoring the Housing phone and email, answering basic questions, and referring other concerns to Housing staff. Complete other assigned duties while protecting confidential information and following university policies. | As needed 5%


Education, Certifications and/or Licenses


Experience


Required

  • Must be pursuing a bachelor’s degree at Texas Wesleyan University and maintain eligibility for student employment in accordance with university policies.


Preferred

  • Previous customer service, office, leadership, or campus involvement experience.


Training

  • Career Services systems, Handshake, office procedures, event support, and basic Housing phone and email coverage and referral procedures. Students are not expected to know these department‑specific systems or procedures before starting.

  • Participate in training, apply feedback, ask questions, and continue developing communication, teamwork, professionalism, leadership, critical thinking, technology, and career and self‑development skills.


Knowledge, Skills & Abilities

  • Demonstrates initiative by seeking opportunities to learn Career Services programs, resources, and office procedures

  • Ability to manage multiple tasks, deadlines, and responsibilities effectively

  • Shows adaptability when responding to changing office, event, and student needs

  • Takes ownership of assigned tasks, applies feedback, and follows through independently


Communication:

  • Ability to communicate clearly and professionally with students, alumni, employers, faculty, staff, and visitors

  • Strong verbal and written communication skills for phone, email, and in‑person interactions

  • Ability to explain Career Services resources, appointment processes, and basic office information accurately

  • Demonstrates active listening and refers questions or concerns to the appropriate staff member when needed


Critical Thinking:

  • Ability to identify student and visitor needs and respond using sound judgment

  • Uses established procedures to solve routine problems and determine when assistance is needed

  • Strong attention to detail when supporting Handshake, First Destination Survey outreach, and office projects

  • Ability to prioritize responsibilities and adjust to changing departmental needs


Leadership:

  • Demonstrates initiative in supporting office operations, events, outreach, and special projects

  • Ability to take ownership of assigned responsibilities and complete tasks with minimal supervision

  • Contributes ideas that improve student service, office processes, and event support

  • Models a welcoming, dependable, and student‑focused approach in the Career Services Center

  • Ability to maintain confidentiality and comply with FERPA regulations

  • Maintains reliability, accountability, and a strong work ethic

  • Ability to follow university policies, office procedures, and written and verbal instructions

  • Represents Career Services in a professional manner and maintains a welcoming office environment

  • Uses good judgment when handling sensitive information and referring concerns to Career Services or Housing staff

  • Supports team projects, including events, employer engagement, campus outreach, and office operations

  • Provides strong customer service in front‑desk, event, and limited Housing-support settings


Technology:

  • Proficiency in Microsoft 365 applications, including Word, Excel, Outlook, Teams, and OneDrive

  • Ability to learn and utilize Handshake for appointments, employer approvals, job postings, and student engagement activities

  • Ability to use standard office technology, including computers, phones, printers, and copiers

  • Uses university systems and digital information responsibly while maintaining accuracy and confidentiality
