Job summary

Assisting Hands – Boston Northwest in Lexington, MA is seeking a detail-oriented Client Care Coordinator to manage client and caregiver schedules and ensure high-quality in-home care. You will handle a high volume of calls, coordinate staffing, and collaborate with the office team across HR, recruiting, and marketing, while maintaining compassionate communication with clients and families.

This full-time role offers 40 hours weekly, in-person work, with occasional weekend coverage and evening

Qualifications

• At least 1 years of office or administrative experience preferred.
• Medical office experience is required; medical scheduling experience is preferred.
• Strong organizational skills and exceptional attention to detail.
• Excellent verbal and written communication skills.
• Comfortable making and receiving frequent phone calls and communicating with people from diverse backgrounds.
• Ability to manage competing priorities, adapt to changing schedules, and work effectively in a fast-paced environment.
• Demonstrated initiative, sound judgment, problem-solving skills, and a willingness to learn.
• A positive, professional, dependable, and compassionate approach to work.
• Ability to work independently while contributing to a collaborative team environment.
• Bachelor's degree preferred.

Responsibilities

• Develop, maintain, and update client and caregiver schedules to support consistent, reliable care.
• Serve as a welcoming first point of contact for incoming calls and inquiries, providing professional, compassionate, and timely assistance.
• Respond to scheduling changes, identify coverage needs, and help resolve issues efficiently while maintaining a high standard of service.
• Build positive relationships with caregivers, provide ongoing support, and help create a positive employee experience.
• Assist with recordkeeping, documentation, compliance, and general office operations.
• Work closely with the office team, including scheduling, human resources, talent acquisition, and marketing, to support agency goals.
• Participate in evening on-call coverage as needed and provide weekend availability based on operational needs.
