Job summary

Virginia Heart is seeking an experienced Hospital Scheduler to coordinate inpatient and outpatient procedures across multiple hospitals while delivering courteous support to the office staff, physicians, billing, clinical staff, and patients.

The role emphasizes accurate scheduling, privacy, and excellent customer service, with opportunities for growth and a benefits package including medical plans and 401(k). No nights, weekends, or holidays are required.

Qualifications

• High School diploma or equivalent required.
• Experience in a multi-provider medical office as a hospital scheduler or medical receptionist preferred.
• Strong computer and typing skills, to include MS Excel, are required.
• Prior EMR system experience preferred.
• Bilingual (English/Spanish) a plus.
• Excellent customer service skills and positive attitude.
• Ability to multi-task and detail oriented.

Responsibilities

• Greet and provide timely, courteous, and professional service to all patients when scheduling appointments.
• Follow scheduling guidelines to complete and receipt all scheduling requests and interpret orders.
• Develop methods to capture all active appointments including scheduled, rescheduled, or canceled.
• Manage surgical case files, coordinate lab appointments, and distribute scheduling prep packets.
• Utilize multiple systems to schedule procedures and link appropriate orders.
• Coordinate procedures with other resources to schedule surgeries at multiple hospitals requiring anesthesia.
• Analyze data and schedule procedures in EPIC; manage physician orders and communicate with providers, patients, and staff.
• Distribute daily schedule, update appointment data elements and MyChart.
• Check insurance eligibility and track prior authorizations for appointment resolution.
• Assist with training and orienting new hires.
• Respect and maintain patient privacy and dignity.
