8Fleet Inc. in Los Angeles is seeking a Recruiting Coordinator to own scheduling across our hiring teams and markets, coordinating candidates, managers, and panels across time zones.

You will lead onsite interviews, improve the candidate experience, and use AI tools to cut admin time while ensuring warm, clear communication with candidates and hiring teams.

Qualifications

• 2+ years as a recruiting coordinator in a fast-paced, high-volume environment.
• Hands-on experience with Ashby (required).
• Experience supporting high-volume recruiting (required).
• Advanced Google Calendar skills, including multi-interviewer panels and managing several calendars at once (required).
• Exposure to AI tools like Claude and Metaview.
• Experience running onsite interviews and a real eye for improving the candidate experience.
• Clear, warm writing with candidates and direct follow-through with hiring teams.
• Calm under pressure, with the instinct to follow up before anyone has to ask.
• Discretion with confidential candidate information.
• Startup, rideshare or logistics experience is a plus.

Responsabilités

• Own interview scheduling end to end in Ashby and Google Calendar, coordinating candidates, hiring managers and panels across markets and time zones.
• Run onsite interviews start to finish: prep the day, greet candidates, and lead tours of our offices and lots.
• Own the candidate experience. Find where the process feels slow or confusing, and fix it.
• Run candidate experience surveys, track the results, and turn feedback into changes.
• Handle reschedules fast and keep candidates and interviewers in the loop when plans change.
• Get the details right on every interview: the right interviewers, links, locations, prep materials and timing.
• Send and track NDAs and pre-interview paperwork so candidates are ready before they walk in.
• Keep candidates updated at every stage so no one goes more than a week without hearing from us.
• Keep Ashby clean: stages, interview records and scorecard reminders up to date.
• Use AI tools like Claude and Metaview to cut admin time and keep hiring teams prepared.

Every candidate who interviews with 8Fleet should know what's next, show up at the right place at the right time, and leave with a real sense of who we are. You'll own that.
