Job summary

GEA Group is seeking an Order Entry Specialist to support the external sales team in Canada by entering and maintaining sales orders and communicating order status to customers. The role emphasizes accurate data entry in SAP-PEM and collaboration with project and finance teams.

The position involves invoicing, monitoring the project backlog, and contributing to month-end close and billing, with a focus on timely communication and order accuracy.

Qualifications

• Bachelor's or Associate's degree is required or preferred.
• Strong attention to detail, organization and time-management skills.
• Proficiency in SAP, Microsoft Office (especially Access and Excel), and MRP systems is highly desirable.

Responsibilities

• Order Management & Data Administration: Create and manage the entire sales order process—receiving customer purchase orders to project closure; ensure accurate data entry in SAP-PEM; maintain data throughout the lifecycle of machine projects.
• Invoice & Financial Management: Prepare and issue customer invoices based on milestones; monitor project invoice backlog; support month-end and quarter-end close activities related to revenue and billing.
• Collaboration & Coordination: Work with suppliers, external factories, and internal teams to ensure timely delivery and accurate order confirmations; provide commercial insights and up-to-date financial data.
• Continuous Improvement: Use SAP and Excel to maintain shipment schedules and sales records; support improvement goals within the department and company.
