Job description

The Campus Receptionist is responsible for operating the multiline telephone system, answering incoming calls, and directing callers to the appropriate personnel.

ESSENTIAL DUTIES, RESPONSIBILITIES, AND EXPECTATIONS

  1. Create a positive first impression on all visitors by being friendly, calm, and courteous to students, customers, and vendors;
  2. Retrieve voice mail messages and forward them to the appropriate personnel;
  3. Answer incoming calls, determine their purpose, and route them accordingly;
  4. Maintain a clean and professional front area;
  5. Take and deliver messages or transfer calls to voicemail when necessary;
  6. Create files, review prospective student documents for accuracy, make copies, and scan documents into the system;
  7. Create and/or run reports as required;
  8. Provide information about the organization, including address and directions;
  9. Greet on-site visitors, determine their purpose, and notify the appropriate personnel;
  10. Monitor activity at the front door of the campus;
  11. Maintain confidentiality of institute information, especially student data;
  12. Manage outgoing mail and handle incoming mail, packages, and courier deliveries;
  13. Maintain and assist with fax machines, including sending, receiving, and routing faxes;
  14. Process payments for services and products;
  15. Order and maintain office supplies;
  16. Create and print documents such as fax cover sheets, memos, and reports;
  17. Perform clerical duties like filing, photocopying, and collating;
  18. Represent the institute professionally and positively at all times;
  19. Maintain regular, punctual attendance.

QUALIFICATIONS

Education and/or Experience:
  • Certificate showing at least one year of college or technical school completion;
  • OR, 3-6 months of related training and work experience;
  • OR, equivalent combination of education and experience.
Computer Skills:
  • Strong knowledge of Microsoft Office Suite and experience with industry-standard computers, printers, and fax machines.
Writing and Communication Skills:
  • Clear and concise communication, both verbal and written, with diverse communities, students, team members, and instructors;
  • Active listening and understanding of various issues;
  • Strong interpersonal skills;
  • Ability to maintain a calm and friendly demeanor when assisting students.
Skills, Abilities, or Other Qualifications:
  • Ability to prioritize, multitask, work under pressure, meet deadlines, and adapt to a flexible schedule;
  • Work independently with minimal supervision;
  • Take initiative and exercise sound judgment within guidelines;
  • Interface effectively with staff, students, and management;
  • Perform conflict resolution and analyze situations critically;
  • Motivate and coach students towards goal achievement;
