Job Summary:
We’re looking for a resourceful, tech-savvy Business Systems & Automation Specialist who can bridge business operations and technology. This role will support Level Workforce internally while helping identify and implement practical AI, automation, and systems-integration solutions that improve how our business and clients work.
You’ll connect existing software platforms, configure integrations, streamline workflows, and reduce repetitive manual work across sales, operations, project management, and finance. The role combines hands‑on execution with problem‑solving: you’ll identify opportunities, recommend practical solutions, implement changes, test results, and document how the new process works. Construction‑industry knowledge is especially valuable as we develop scalable solutions for job costing, project management, operational workflows, and financial reporting.
You’ll also coordinate day‑to‑day technology support, user access, and systems administration. Over time, this role may contribute to a billable, client‑facing capability within Level’s professional services offering.
A Typical Week Might Include:
- Mapping a repetitive sales, project, or finance workflow and identifying where automation or AI could reduce manual effort.
- Connecting CRM, project‑management, document‑management, and accounting platforms so information moves more reliably between systems.
- Exploring practical uses of AI to support reporting, information retrieval, document handling, or routine administrative work.
- Setting up software and system access for a new consultant, reviewing permissions, and coordinating offboarding when someone departs.
- Implementing an operational process designed by leadership, updating the system and checklist, and communicating the change to the team.
- Supporting construction‑related workflows involving project management, job costing, operational data, and financial reporting.
Key Responsibilities:
AI, Automation & Systems Integration
- Identify opportunities to use AI, integrations, and automation to eliminate redundant steps, reduce manual data entry, and improve consistency.
- Review existing business processes and software capabilities, then recommend practical solutions that fit the business need and available resources.
- Configure and maintain workflow automations using available platforms and tools; develop customized integrations where appropriate and within your technical capabilities.
- Connect sales and CRM, operations and project‑management, document‑management, and finance/accounting systems to improve data flow, reporting, and decision‑making.
- Test new and updated automations, troubleshoot issues, monitor results, and refine workflows to ensure they work as intended.
- Document integrations, automation logic, standard operating procedures, and user instructions so solutions can be maintained and scaled.
- Evaluate AI‑enabled tools thoughtfully, considering accuracy, security, privacy, cost, and appropriate human review.
Construction Operations & Client Solutions
- Help develop practical, repeatable technology solutions for construction‑related businesses, drawing on workflows and needs identified through Level, Baseline, and affiliated businesses.
- Support improvements to construction operations, project‑management workflows, job costing, project financial reporting, and related business processes.
- Translate operational challenges into clear requirements and workable system or automation changes in collaboration with internal leaders and client teams.
- Help assess whether solutions can be standardized and delivered as part of Level’s client‑facing professional services.
- As appropriate, support client engagements by configuring tools, implementing integrations, documenting processes, and helping users adopt new workflows.
- Coordinate day‑to‑day technology support and serve as the first point of contact for routine application, access, and productivity‑tool issues.
- Troubleshoot software, connectivity, permissions, and system issues.
- Administer user accounts, software licenses, permissions, and subscriptions across business applications.
- Manage technology setup and system access for new consultants and team members, and promptly revoke access and transition files during offboarding.
- Support Microsoft 365 and other business applications, including collaboration, project‑management, and document‑storage platforms.
- Help maintain sound security and access practices, including multi‑factor authentication, password management, periodic access reviews, and appropriate handling of company and client data.
Operations Implementation
- Execute operational initiatives and process changes developed by company leadership, taking assigned work from planning through implementation.
- Update systems, workflows, checklists, documentation, and tools to reflect new processes and procedures.
- Coordinate with team members to communicate changes, support adoption, and resolve implementation issues.
- Track tasks, deadlines, and open questions; validate that updated processes are working as intended.
- Look for opportunities to improve efficiency, consistency, and visibility across internal operations.
What We’re Looking For:
- A practical bridge between operations and technology who can understand a business problem and turn it into a workable systems or workflow solution.
- Resourceful and self‑directed, with the ability to learn unfamiliar platforms, troubleshoot independently, and know when to involve a specialist.
- Curious about AI and automation, with a focus on useful, secure, measurable improvements rather than technology for its own sake.
- Comfortable working across sales, operations, project management, and finance, and communicating with both technical and non‑technical colleagues.
- Hands‑on and accountable: able to manage several priorities, follow through, test work carefully, and document what changed.
- Careful with credentials, permissions, confidential information, and client data.
- Adaptable and comfortable moving between automation projects, systems administration, user support, and operational implementation.
- Interested in construction‑related businesses and in developing scalable solutions that may create value for Level’s clients.
Required Qualifications:
- 2+ years of experience in technology operations, IT support, systems administration, business systems, workflow automation, operations coordination, or a related hands‑on role.
- Experience troubleshooting business applications, user access, and software platforms.
- Experience implementing or improving business processes, workflows, systems, or operational changes.
- Strong computer skills and the ability to learn new software quickly and work independently.
- Experience with AI tools or AI‑enabled business workflows, including evaluating use cases and testing results.
- Experience connecting CRM, project‑management, document‑management, and accounting/finance platforms.
- Familiarity with Microsoft 365 administration, including user accounts, licenses, permissions, and security settings.
- Strong organization, attention to detail, problem‑solving, and communication skills.
Preferred Qualifications:
- Experience with systems such as Basecamp, Egnyte, Microsoft Teams, HubSpot, QuickBooks, or construction project‑management/job‑costing platforms.
- Experience supporting construction, real estate, finance, or professional services businesses; familiarity with construction job costing and project financial reporting is a plus.
What We Offer:
- Flexible, remote contract structure that works around your schedule.
- Opportunity to support growing construction and professional services businesses.
- Direct collaboration with experienced business leaders on practical operations and technology improvements.
- Opportunity to help build a client‑facing AI, automation, and systems‑integration capability.
- Potential to expand responsibilities, client work, hours, and compensation over time based on performance and business needs.
