IgniteData is seeking a high-calibre, adaptableBusiness Operations Managerto play a pivotal role in the smooth running of our business operations. This is an ideal role for someone who thrives on variety, enjoys getting stuck into a wide range of business-critical tasks, and wants to be part of a mission-driven, fast-growth health tech company.

You’ll report directly to ourChief Operating Officer, working across the business to support operations, vendor coordination, contract and compliance admin, HR process support, and general administration. You’ll also work closely with ourVP of Legal & Compliance(to whom you will have a dotted-line reporting relationship) to ensure internal legal and compliance tasks run efficiently, freeing up time for senior leaders to focus on strategic priorities.

This is not a narrowly defined role—we’re looking for someone who can wear many hats and become a dependable, high-quality go-to person across the business.

Key Responsibilities

Operations & Administration (30%)

  • Be the operational heartbeat of the business—keeping things organised, flowing, and on track.
  • Support vendor onboarding and management, including sourcing and scoping new suppliers, negotiating onboarding requirements, and coordinating with Finance.
  • Maintain and improve internal admin processes, including office logistics, tools/licenses, and documentation.
  • Support the leadership team with scheduling, coordination, and documentation of meetings (e.g., board prep, internal reviews).

Contract & Legal Support (25%)

  • Assist in the review, tracking, and management of company contracts—ensuring version control, timely renewals, and metadata capture.
  • Use tools likeAdobe Signto manage document workflows efficiently and securely.
  • Work closely with theVP of Legal & Complianceto support smoother contract processes and reduce administrative overhead.
  • Maintain a central repository of agreements and templates.

Governance & Compliance (20%)

  • Support internal audits, policy reviews, and compliance initiatives (e.g., ISO 27001, SOC 2, HIPAA).
  • Help ensure compliance documentation and risk registers are up-to-date and well-organised.
  • Coordinate governance activities such as meeting logs, action tracking, and reporting timelines.

HR Process Support (15%)

  • Support the onboarding of new employees, ensuring all documents, tools, and systems are in place before day one.
  • Coordinate the offboarding process when staff leave, ensuring checklists, access removal, and document archiving are completed.
  • Manage HR administrative tasks including probation tracking, review scheduling, and document circulation.
  • Maintain personnel files and liaise with external HR consultants where needed.

Project & Ad Hoc Support (10%)

  • Step in to support business-critical projects, whether that’s preparing presentations, managing internal initiatives, or coordinating policy rollouts.
  • Be a trusted pair of hands for sensitive or time-critical tasks across the company.

What We're Looking For

  • 3–5 years of experience in a fast-paced administrative, operations, or legal support role—ideally within a startup, tech, pharma, or healthcare setting.
  • Strong attention to detail and organisational skills; able to juggle multiple priorities with calm professionalism.
  • Comfortable working with tools likeAdobe Signand other digital platforms to streamline documentation and approval flows.
  • Familiarity with compliance frameworks (HIPAA, ISO 27001, SOC 2) is an asset but not essential—willingness to learn is more important.
  • Experience managing vendor relationships from sourcing to onboarding is a strong plus.
  • Ability to handle confidential information with discretion and integrity.
  • A proactive mindset: someone who takes ownership, anticipates needs, and solves problems before they arise.
