Job Description

The Business Office Manager oversees the business office, front desk, telephones, community files and records, and provides leadership in the absence of the Executive Director.

Responsibilities
  • Maintain accurate records for Accounts Receivable (including collections), payroll, and petty cash. Process items for corporate accounting under the supervision of the Executive Director.
  • Maintain current resident business files, leases, community census data, and Medicaid reimbursement if applicable.
  • Ensure confidentiality of information regarding the community, employees, and residents.
  • Manage employee paperwork and files, coordinate benefits, and track training to ensure proper onboarding and ongoing education.
  • Supervise front desk and administrative support staff; cover reception duties as needed; oversee telephone training and quality assurance.
  • Serve as Manager on Duty in the absence of the Executive Director.
Qualifications
  • At least 2 years of experience in office management, bookkeeping, or similar roles.
  • Experience with Accounts Payable, Accounts Receivable, and Payroll required.
  • Yardi experience preferred.
  • Self-motivated, organized, professional with good communication and public relations skills.
  • Administrative management and supervisory skills essential.
  • Ability to handle multiple tasks, meet deadlines, and manage time effectively.
  • Strong verbal and written communication skills.
  • Ability to relate well with residents, families, and staff.
  • Associate degree or comparable experience; coursework in Business, Accounting, or Office Management preferred.
