Position Summary
The Business Office Manager is primarily responsible for revenue cycle management. This includes but is not limited to: accounts payable and receivable, billing, record keeping, data management, and information system reports. The Business Office Manager ensures accurate and efficient information in accordance with professional accounting practices and government regulations.
Essential Responsibilities and Duties
- Responsible for collecting accounts receivable for Private Pay and Resident Liability Accounts, including follow-up until paid in full or sent to collections.
- Resolve balance disputes as needed/requested from responsible parties/residents.
- Maintain status of delinquent/problem accounts and notify the Accounts Receivable Director and the Administrator of these accounts as they arise.
- Prepare analysis and reconciliation of accounts of Private Pay and Resident Liability Accounts.
- Take incoming payments received on accounts and deposit to bank.
- Post payments accurately in the accounting system.
- Send out monthly Private Pay/Resident Liability Accounts statements to families.
- Answer questions from families on accounts, including Medical Assistance.
- Assist families with Medical Assistance applications and follow up with counties and/or families.
- Submit monthly Medical Assistance invoices to the State of Minnesota.
- Follow up on denied claims and resubmit claims accordingly.
Additional Responsibilities
- Upload all invoices into DSSI and code them for timely payments.
- Act as facility contact for all Accounts Payable questions/concerns.
- Maintain knowledge of general ledger accounts and retain invoices for seven years.
- Develop and implement financial goals, supervise staff, and ensure policies are followed.
- Review, analyze, and interpret financial data to monitor progress and improve efficiencies.
- Participate in hiring, firing, and evaluating Business Office staff.
- Promote professional conduct and positive relationships with residents, families, staff, and other professionals.
- Maintain departmental records, attend meetings, and stay current with policies and regulations.
- Work some evenings and weekends as directed.
Qualifications
- Associate degree in accounting, healthcare administration, or business management preferred; high school diploma with 5 years of healthcare-related business office experience acceptable.
- Current knowledge of accounts receivable management, billing procedures, and computerized systems.
- Effective communication skills, both verbal and written.
- Ability to perform essential functions with or without reasonable accommodations.
- Qualify for employment under Minnesota Department of Human Services guidelines.
Preferred
- Experience in healthcare, skilled nursing, or assisted living communities.
