JOB SUMMARY:

Ensures all Business Office operations are functioning accurately and in a timely manner for proper generation of management reports and cash flow. Manages maintenance of all medical records following legal guidelines.

Reports To: Facility Administrator

Supervises: Receptionist/Medical Records Clerk, Biller/Collector, Scheduler

QUALIFICATIONS
  • Four years of college or equivalent with emphasis on Business Administration.
  • Minimum of 2 years business management experience.
  • Skills necessary to communicate effectively with healthcare professionals and staff.
  • Thorough knowledge of Microsoft Office, Excel, and Word.
  • Strong organizational skills.
  • Strong oral and written communication skills.
OCCUPATIONAL EXPOSURE

Category III exposure to bloodborne pathogens and possible chemical hazards.

RESPONSIBILITIES:
  1. Supervise all office functions including reception, admitting, medical records, accounts payable, and receivable management. Ensure staff adherence to policies and procedures.
  2. Hold periodic staff meetings for coordination.
  3. Conduct performance reviews for Business Office Staff.
  4. Monitor workload and personnel needs.
  5. Train, develop, and motivate staff.
  6. Prepare and analyze monthly financial and management reports.
  7. Process invoices according to Accounts Payable Policies.
  8. Monitor cash flow and assist with monthly analysis.
  9. Manage daily cash procedures, including receipt and disbursement, following Facility Policy.
  10. Review insurance contracts for reimbursement accuracy and compliance.
  11. Maintain relationships with insurance payors and stay updated on reimbursement requirements.
  12. Maintain inventory of forms and supplies.
  13. Resolve billing, collection, and medical records issues.
  14. Prepare reports for annual audits.
  15. Maintain computer systems, ensure data backup, and adhere to data security policies.
  16. Review procedures and recommend adjustments to the CEO.
  17. Monitor and suggest fee schedule changes.
  18. Update fee schedules and coding annually in the computer system.
  19. Assist in the development of the annual budget.
  20. Perform additional responsibilities as assigned by Administration.
  21. Ensure professional and courteous treatment of patients and relatives by staff.
PHYSICAL DEMANDS
  • Frequent sitting, conversing, listening, handling objects, reaching; occasional walking; specific vision requirements.
  • Occasional lifting up to 25 pounds.
WORK ENVIRONMENT
  • Typical office environment with moderate noise levels.
