Job summary

Cobalt Search Ltd. is seeking a Brokerage Coordinator to support a team of ~20 agents in a hybrid New York office. The role manages transactions, listings, marketing, and process improvements while working closely with senior leadership.

You will coordinate every stage from offer to closing, oversee documents and compliance, and drive campaigns across channels. Hybrid work with in-person Wednesdays at Union Square.

Qualifications

• 2+ years of experience as Brokerage Coordinator or real estate support professional
• Strong understanding of New York residential sales and rentals
• Experience supporting multiple agents and transactions simultaneously
• Experience using HubSpot, Asana, Slack, Google Workspace and Canva would be advantageous
• Excellent organisation, communication and prioritisation skills
• Proactive and outcomes-focused mindset

Responsibilities

• Coordinate residential sales and rental transactions from offer acceptance through closing
• Manage listings, documentation, signatures and compliance requirements
• Coordinate photography, staging, advertising and property launches
• Deliver marketing campaigns across social media, email and direct mail
• Maintain accurate data and workflows within HubSpot and Asana
• Support agent accountability, communication and performance
• Build relationships with attorneys, vendors, management companies and other stakeholders
