Job summary

The New York City Department of Transportation seeks a Schedule Coordinator in the Division of Bridges to provide administrative, program coordination, and operational support for capital project delivery activities, including scheduling, tracking, reporting, and related management functions.

Under the Chief Scheduler, you will coordinate with project managers, engineers, design and construction teams, consultants, contractors, City agencies, and other stakeholders, collecting and monitoring

Qualifications

  • A baccalaureate degree and five years of full-time paid supervisory or administrative experience, including handling business promotion or urban economic problems; or a satisfactory equivalent combination with two years in a managerial/executive capacity.
  • Graduate study may substitute for general experience; all candidates must have a high school diploma or equivalent.

Responsibilities

  • Assist the Chief Scheduler in coordinating and administering the Division's project scheduling and delivery activities.
  • Coordinate with project managers, engineers, design and construction teams, consultants, contractors, City agencies, and stakeholders to collect, review, and maintain current project information.
  • Monitor project schedules, tracking reports, and management systems to identify items, variances, risks, and issues.
  • Prepare and maintain project status reports, dashboards, and management materials for Division management.
  • Review project information for completeness and compliance with Division procedures.
  • Assist teams with developing timelines, schedules, duration estimates, and planning materials.
  • Coordinate and facilitate meetings, agendas, materials, and action follow-ups.
  • Coordinate Division-wide initiatives and programs with work plans and deadlines.
  • Maintain scheduling, databases, and document management systems using Excel and other software to report information.
  • Prepare analyses and recommendations for management review.
  • Develop and improve administrative procedures and tracking tools for project delivery operations.
  • Coordinate inter-unit and inter-agency activities as directed by the Chief Scheduler.
  • Exercise independent initiative and judgment in managing assignments and following up on matters.
  • Perform related duties and special assignments as required.
