Job summary

Circle Logistics is seeking a Billing Specialist to manage timely and accurate billing and receivables for the Billing department. You will follow the Billing Manager’s directions on best practices and ensure precise invoicing workflows.

Your responsibilities include matching invoices to loads, verifying data accuracy, processing statements, and communicating with carriers. The role requires strong MS Office skills and the ability to handle complex billing tasks in a fast-paced logistics

Qualifications

• High School diploma or GED required.
• Strong organization, communication, and computer skills.
• Basic understanding of transportation billing, rates, contracts, and tariffs.
• Proficiency utilizing Microsoft Tools (Excel, Word, Outlook, SharePoint).
• Ability to analyze and improve processes.
• Ability to work independently and within a group environment.
• Ability to multitask, prioritize, and handle a variety of complex issues and customer requirements.
• Strong attention to detail and organized.

Responsibilities

• Receive and sort through invoices and match invoices to loads.
• Verify accuracy of billing data and revise errors.
• Compute credit terms, discounts, shipment charges, or rates for goods or services to complete billing documents.
• Review and update rate sheets and contracts.
• Scan and import invoices and supporting documents for records.
• Prepare and send out itemized statements, bills, or invoices.
• Reach out to carriers regarding billing paperwork.
• Resolve discrepancies in transportation accounting records.
• Reconcile accounting records at the end of each month.
• Perform data entry and reporting via Excel and TMS.
• Occasional operational coverage for Transportation Coordinators.
