Job summary

Swap is seeking a Billing Operations Associate (12-month FTC) to join our Finance team in Poland. This role focuses on owning and improving the billing operations behind shipping and onboarding, driving accuracy and efficiency as volumes grow, and leading automation initiatives.

The role sits in a fast-scaling environment where you’ll map processes, implement new tools, consolidate data sources, and apply AI to Finance operations.

Qualifications

• Background in finance operations, business or operations analysis, systems or process improvement, or a founder’s associate / chief-of-staff style role.
• Exceptional analytical ability and a track record of quickly understanding complex processes and data.
• Strong process thinking: map workflows, spot inefficiencies and design scalable ways of working.
• Hands-on experience with billing platforms, ERPs, CRMs or workflow tools.
• Genuine curiosity about automation and AI and examples of applying them to improve workflows.
• Experience with transactional or usage-based billing is beneficial.

Responsibilities

• Own end-to-end billing operations and onboarding processes.
• Prepare and review shipping billing calculations and investigate root causes.
• Perform billing reconciliations and maintain documentation.
• Run first-invoice reviews for new customers and feed learnings back to onboarding.
• Support termination and churn processes with Credit Control.
• Lead implementation and testing of new billing tools and consolidate data sources.
• Map, document and redesign billing workflows and drive changes to completion.
• Drive automation and AI-enabled workflows across billing and reconciliations.
• Build reporting and data checks to improve visibility and data quality.
• Provide general Billing and Credit Control support with Finance, Ops and Product.
