Job summary

Cox Fleet by Cox Automotive, headquartered in Indianapolis, is hiring a Billing Specialist II to create invoices from repair orders and coordinate with technicians for estimates. You will communicate with customers and ensure accurate billing using standard times and VMRS codes.

Qualifications

• High School Diploma or GED; related discipline accepted with up to 1 year experience or 3 years in related field
• Proficient with Mitchell One or similar estimating systems
• Strong communication (written, verbal, phone) and customer service skills
• Proficient in MS Office and email; able to navigate software to generate estimates and process invoices
• Ability to perform basic arithmetic and work with various units of measure
• Ability to stay calm and professional with customers and technicians

Responsibilities

• Prepare repair orders (RO) describing symptoms, problems, and causes discovered; enter RO into service database system
• Verify technicians selected correct VMRS code for repairs and ensure billing hours align with standard times
• Prepare actual invoice from RO using customer-specific rates and markups
• Improve RO quality by resolving missing or incorrect information to prevent disputes while ensuring CAMFS invoices reflect full service
• Coordinate with technicians and Mobile Technician Leaders for needed information to process invoices
• Create vehicle repair service estimates from information gathered from Mobile Technicians and Customers
• Communicate with customers via email, fax, or phone to obtain purchase order approvals or discuss billing issues
• Collect and upload all necessary paperwork into the system for records
