About the Opportunity
We are seeking an experienced Client Account Coordinator to join a leading Am Law firm. This position is responsible for managing accurate, timely, and compliant billing processes while providing a high level of service to both internal stakeholders and external clients.
The Billing Coordinator will oversee the full monthly billing cycle, including editing, proofreading, finalizing, and submitting client invoices. The role will also support complex billing portfolios, research billing data, provide detailed analysis to attorneys, resolve billing-related issues, and serve as a key liaison between the firm and its clients.
The position will also involve mentoring and sharing knowledge with junior team members while contributing to process improvements and maintaining best practices across the billing function.
Key Responsibilities
- Prepare, review, edit, finalize, and submit client invoices in accordance with firm policies and client billing guidelines.
- Ensure accuracy of billing entries, task codes, discounts, and supporting billing information.
- Coordinate with the e-billing team to ensure timely and accurate electronic invoice submissions.
- Obtain and document required approvals for deferrals, write-offs, and time transfers.
- Manage and support complex billing arrangements, including multi-payor, fixed-fee, and split billing.
- Research billing data and provide detailed analysis and explanations to attorneys and internal stakeholders.
- Serve as a primary point of contact for client billing inquiries and provide timely, professional responses.
- Clarify billing details, research discrepancies, and work toward effective resolution of billing issues.
- Collaborate with attorneys, legal assistants, accounting teams, managers, and other internal departments to gather required billing information.
- Maintain ownership of billing issues from initial identification through resolution, escalating complex matters when appropriate.
- Maintain accurate documentation of client billing requirements and track changes or updates.
- Ensure compliance with client billing guidelines, firm policies, and confidentiality requirements.
- Meet billing deadlines, performance metrics, and service-level expectations.
- Prepare monthly billing reports and review data for accuracy prior to submission.
- Identify opportunities to improve and streamline billing processes and workflows.
- Participate in training and development initiatives related to billing systems, tools, and procedures.
- Provide mentoring, training, and knowledge-sharing support to junior team members.
- Provide additional billing and administrative support as needed during peak periods or coverage requirements.
Qualifications & Required Skills
- 5+ years of experience with one or more of the following billing/accounting systems: Elite 3E, Elite Enterprise, SAP, or Aderant.
- 2+ years of Elite 3E experience preferred.
- Strong hands-on experience with complex legal billing, including multi-payor, fixed-fee, and split billing arrangements.
- Intermediate Microsoft Excel skills, including formulas and pivot tables.
- Strong understanding of the full monthly billing cycle and e-billing processes.
- Excellent written and verbal communication skills.
