Job summary

W&M Fire Protection, part of the DU Family of Companies, seeks a Billing and AR Specialist in Plantsville, CT, to manage invoicing and customer accounts. The role supports the design, installation, and service operations within a fast-growing fire protection group.

The candidate will handle invoicing according to contracts, process payments, run credit checks, and maintain accurate customer data while providing strong administrative support to sales and project teams.

Qualifications

• High School Diploma or GED required.
• Good oral, written, and telephone skills.
• Time management, organizational, and interpersonal skills.
• Moderate to advanced computer skills (Microsoft products).
• Ability to read, analyze, and interpret general business procedures and regulations.
• Ability to define problems, collect data, establish facts, and draw valid conclusions.
• Ability to calculate figures and amounts such as discounts, interest, and commissions.

Responsibilities

• Accurately prepare and invoice customers per contract and customer requirements; may include credits and rebills.
• Invoice customers within 4 days after completing the scope of work.
• Collaborate with customers on invoice updates or questions.
• Follow up on invoices and past-due accounts.
• Coordinate with sales and project managers to ensure timely and accurate invoicing.
• Maintain customer data and create new customers/sites in the system.
• Process deposits and accept payments (credit cards, EFTs, checks).
• Run credit checks on new or potential customers.
• Enter employee time into the payroll system.
• Scan and upload documents into electronic storage folders.
• Answer incoming department calls.
• Perform other related administrative duties as assigned.
