Job summary

Sunoco LP is seeking a Billing Specialist in Salt Lake City, UT to prepare bills and invoices, verify billing data, and support a smooth financial close. Responsibilities include processing branch invoices, reconciling buy-back data, assisting customers, and maintaining confidentiality across departments.

The role requires attention to detail, strong communication, and experience with MS Office and POS systems. A 1–2 year background in AR/AP or bookkeeping is expected.

Qualifications

• High School diploma or GED.
• Minimum of 1–2 years of accounts receivable/payable or bookkeeping experience.
• Strong analytical skills and accurate data entry skills.
• Ability to process large amounts of work under tight deadlines.
• Excellent customer service skills.
• Strong communication (oral & written), presentation & listening skills.
• Knowledge of GAAP, including basic bookkeeping and accounts receivable.
• Technical proficiency with MS applications (Outlook, Excel) and other computer software (Internet, POS Systems).
• Demonstrated ability to multi-task in a fast-paced environment and maintain confidentiality.
• Strong planning & organizing, analytical skills.

Responsibilities

• Generates and sends out inventory information to each branch for weekly ordering.
• Generates and sends out invoices at least once per week for each branch and twice weekly for the Minot branch.
• Compare readings from bulk oil tank monitor reports to fill reports from the warehouse; communicate issues to relevant managers.
• Inputs buy-back data into ordering system; perform monthly reconciliations.
• Enter driver drop-off information from bills of lading into payroll slips.
• Assist customers by phone, email, or in person; update accounts with the Credit Department.
• Input weekly customer rebates (SPA's) into the ordering system.
• Maintain records of Business Development Funds (BDF).
• Process billing for monthly oil samples; print tank and drum labels.
• Retrieve orders from the ordering system hourly; coordinate with Drivers and Safety.
• Create orders in the ordering system and PO in accounting; ensure PO is entered into inventory and paperwork to AP.
• Attend meetings and participate in committees as directed by Marketing Manager.
• Maintain confidentiality of company, employee, client, and customer information.
• Review processes, analyze functions for efficiency, and develop improved workflows.
• Communicate issues and recommendations to Lubricants Business Office Manager.
• Attend monthly safety meetings and report incidents as required.
• Set priorities, meet deadlines, and maintain professional relationships both internally and externally.
• Must meet performance expectations and complete duties as assigned.
