Job summary

Institutes of Health (IOH) seeks a bilingual New Patient Coordinator (English/Spanish) to guide Workers’ Compensation patients from referral to their first evaluation, coordinating with insurers, nurses, attorneys and clinicians to ensure a smooth intake. This role serves as the primary contact to ensure timely transitions for injured workers.

Qualifications

• Bilingual English and Spanish, with professional communication skills.
• Minimum 12 years of experience in medical scheduling, intake, or coordination.
• Working knowledge of Workers’ Compensation terminology and processes.
• Experience with EHRs, scheduling workflows, and related admin tasks.

Responsibilities

• Referral Management: receive, process, and track incoming referrals from insurers, nurse case managers, and employers.
• Medical Records Coordination: collect and upload records, imaging, and notes into the EHR before initial evaluation.
• Authorization & Verification: verify claim status, jurisdiction, and billing, and obtain RFAs and UR approvals.
• Specialty Coordination & Scheduling: align referrals with Orthopedics, Spine, Pain, Neurology, and PT.
• Patient Communication: converse in English and Spanish to explain intake requirements and confirm appointments.
• Timely Care Coordination: monitor referrals and schedule within state/network turnaround times.
• Stakeholder Communication: provide updates to adjusters, case managers, and legal representatives.
• Issue Resolution: address missing docs, delays, and barriers to prevent care delays.
• Documentation & Tracking: keep accurate records of referrals, communications, and scheduling activities.
