Job summary

Orthodontic Experts is seeking an Assistant Clinic Manager to help oversee daily clinic operations in the Chicagoland area. You will work with upper management to coordinate staff productivity, safety, compliance, and top-tier customer service.

The role involves scheduling optimization, handling financial consultations, and coordinating meetings with clinical staff, while traveling to sister clinics as needed and supporting marketing events.

Qualifications

• Bachelor degree or equivalent required.
• 3-4 years of experience in office administration.
• 2 years of office management experience.
• Proficient in Microsoft Word, Excel, Outlook, PowerPoint and Google Suites.
• Travel availability to Bucktown, Avondale, Burbank, Kedzie.
• Spanish required.

Responsibilities

• Manage scheduling of patients and adjust as needed.
• Monitor no-shows and coordinate calls and rescheduling.
• Conduct sessions with patients for reviewing treatment and payment plans.
• Handle patient complaints and provide feedback to Providers/Assistants on clinical matters.
• Provide weekly and monthly reporting to leadership.
• Coordinate and facilitate monthly meetings for clinical staff.
• Maintain appearance and functionality of the office.
• Ensure hygiene and safety regulations including OSHA.
