Brown Law, PLLC is a technology driven, boutique immigration law firm located in a trophy, luxury office building in a trendy, upscale part of Alexandria. Our office culture is one of excellence, integrity and teamwork. Our firm is growing, and we are expanding our client relations and intake team — we are looking to hire 1-2 people for this role.
As a bilingual (English and Spanish) Client Relations & Intake Specialist at Brown Law, PLLC, you will be responsible to warmly and professionally greet the firm's clients who call or come to the office; conduct initial client intake and screen new inquiries; schedule appointments and consultations; follow up with prospective and current clients to keep them informed and engaged; take payments; and scan and email documents as well as communicating with clients via text and email.
In this role, you will:
- Warmly and professionally greet clients and visitors who call or come into the office, in both English and Spanish
- Conduct initial client intake: screen new inquiries, gather case information, and determine next steps in coordination with attorneys
- Schedule and manage consultations, appointments, and attorney calendars, proactively confirming and following up to minimize no-shows
- Serve as an ongoing point of contact for existing clients, communicating case updates, answering questions, and routing concerns to the right team member
- Track prospective clients through the intake pipeline and follow up promptly by phone, text, and email to convert inquiries into scheduled consultations
- Take and process client payments accurately, maintaining organized billing and payment records
- Scan, organize, and email documents; maintain accurate, well-organized client files and case management records
- Communicate with clients via text and email in a timely, professional, and courteous manner
- Monitor the overall client experience and flag opportunities to improve service, responsiveness, or satisfaction
- Collaborate closely with attorneys, paralegals, and legal assistants to ensure a seamless client journey from first contact through resolution of their matter
- Maintain strict confidentiality of sensitive client and case information at all times
Skills Needed to Succeed at this Role:
- Fully Bilingual in English and Spanish
- Exceptional Attention to Detail and strong organizational skills
- Previous experience in an administrative, clerical, or client-facing role at an office (law firm or immigration services experience a plus)
- Excellent customer service, confidence speaking to clients, ability to speak formally and professionally
- Familiarity with calendar management and scheduling
- Comfort proactively following up with prospective clients and managing a busy intake pipeline
- Familiarity with legal case management or CRM software (e.g., Clio, PracticePanther, or similar platforms) a plus
- Comfortable multitasking across phone, text, and email in a fast-paced office environment
- Discretion and sound judgment when handling sensitive, confidential client information
- Notary Public commission a plus (not required)

Compensation:
$30-35 per hour, consummate with experience.
