You will track inquiries through the intake pipeline, coordinate attorney calendars, take payments, scan documents, and maintain organized client files, while upholding strict confidentiality and professional service.

Qualifications

• Bilingual in English and Spanish is required or highly preferred.
• Excellent attention to detail and strong organization are essential.
• Experience in administrative, clerical, or client-facing roles; law firm or immigration services is a plus.
• Outstanding customer service with professional communication skills.
• Familiarity with calendar management and scheduling.
• Ability to multitask in a fast-paced office environment.
• Discretion handling sensitive client information; notary is a plus.

Responsibilities

• Greet clients and visitors warmly in English and Spanish.
• Conduct initial client intake and screen inquiries; coordinate next steps with attorneys.
• Schedule consultations and manage attorney calendars; minimize no-shows.
• Serve as ongoing point of contact for clients; relay updates and questions to the team.
• Track prospective clients through intake; follow up via phone, text, and email.
• Take and process client payments; maintain billing records.
• Scan, organize, and email documents; keep client files up to date.
• Maintain client confidentiality at all times.
• Collaborate with attorneys, paralegals, and staff to ensure smooth client journeys.
• Maintain trust and professionalism in all client interactions.
