Job summary

The Josselyn Center NFP in Illinois seeks a Part-time Client Access Specialist to warmly welcome clients, check them in, and support front‑end operations with HIPAA‑compliant handling of records.

You will assist with onboarding, answer calls, process payments, scan documents into the EMR, and help maintain a clean, welcoming reception that reflects Josselyn’s mission and values for every client and visitor.

Qualifications

  • High school diploma or equivalent required; 2-4 years of relevant experience may be considered instead of education.
  • Experience in a patient-facing, receptionist, or customer service role, ideally in a healthcare setting, preferred.
  • Experience supporting front-desk operations, including check-in, telephone management, documentation, and payment processing.
  • Experience handling confidential information with discretion and professionalism.

Responsibilities

  • Greet and check in clients and visitors following procedures.
  • Assist with onboarding and maintain compliant records under HIPAA.
  • Process co-payments and invoice payments professionally.
  • Answer calls promptly and route to appropriate staff.
  • Scan and upload onboarding documents in the EMR.
  • Keep waiting area clean and welcoming.

Job description

Job Summary

Reporting to the Access Coordinator, the Client Access Specialist is a client‑facing role responsible for delivering a professional, welcoming experience for all clients and visitors. As a first point of contact, this role supports front‑end operations by ensuring clients feel welcomed, respected, and supported through efficient client onboarding, secure handling of patient records and PHI, and compassionate, client‑centered service consistent with Josselyn’s mission and values.

Part‑Time Schedule

This is a part‑time position on Tuesdays, Wednesdays, and Thursdays 10 AM - 6 PM.

Compensation

$18 - $18.87/hr.

Essential Responsibilities and Metrics
  • Greet and check in clients and visitors in accordance with established front desk and client access procedures.
  • Adhere to established check‑in and onboarding procedures to support a positive client experience while maintaining accurate and compliant records and adhering to HIPAA and organizational privacy standards.
  • Assist clients with co‑payment and invoice payments for services in a courteous and professional manner, following established billing and cash‑handling procedures.
  • Answer and route telephone calls in a prompt, professional, and accurate manner, supporting a positive client experience and meeting established performance metrics for responsiveness and accuracy.
  • Accurately scan, upload, and maintain client onboarding documentation within the electronic medical record (EMR) system.
  • Maintain a clean, organized, and welcoming waiting area, including sanitization of workstations.
  • Collaborate effectively with clinical, billing, and administrative team members to ensure coordinated care, accurate information exchange, and a seamless client experience.
  • Process incoming and outgoing mail efficiently and accurately, following established procedures.
  • Complete assigned projects and administrative tasks within established deadlines.

  • Presents a consistently professional appearance, demeanor, and behavior that supports a welcoming, respectful patient experience that aligns with Josselyn standards.
  • Demonstrates proficiency with electronic medical record (EMR) systems and maintains the confidentiality of patient information in compliance with HIPAA and organizational policies.
  • Strong written and verbal communication skills, including the ability to actively listen, provide clear explanations, and communicate professionally with clients, families, and staff.
  • Bilingual in English and Spanish preferred.
  • Proficiency in Microsoft Office 365 applications (Word, Excel, Outlook, Teams) and Zoom.
  • Effective time‑management and organizational skills, with the ability to prioritize tasks, manage multiple responsibilities, and ensure timely patient support while maintaining smooth front‑end operations.
