Job summary

ICECO in Brea, CA is seeking a Sales Assistant to connect dealers, the Sales team, warehouses, and customers. You will manage B2B orders, shipments, product data, reporting, and communications to ensure on-schedule delivery from order to arrival.

The role is in-person at our Brea location with fluency in Mandarin and English required for professional communications across teams and clients.

Qualifications

• Fluency in Mandarin Chinese and English is required, written and spoken.
• Experience with Shopify, EDI, or B2B order processing is preferred.
• Strong attention to detail and ability to meet deadlines.
• Proficient in Excel or similar spreadsheet software.

Responsibilities

• Process B2B orders through Shopify, EDI, dealer portals, and email; verify products, pricing, shipping info, and customer requirements.
• Coordinate shipments (small parcel, LTL, occasional international) with teams, warehouses, carriers, and logistics partners.
• Prepare bills of lading and other shipping docs; track deliveries and resolve delays/damages.
• Maintain the Shopify-based B2B wholesale website: listings, pricing, images, descriptions, collections, banners, navigation, and ordering settings.
• Prepare regular and ad hoc reports covering sales, orders, customers, products, shipments, and inventory.
• Respond to dealers and B2B clients regarding order status, shipment updates, products, inventory, and pricing.
• Monitor inventory and support replenishment planning, sea freight coordination, and warehouse inbound notifications.
• Process customer returns, generate return labels, and issue refunds as requested by Customer Support.
• Work cross-functionally with Sales, Accounting, Warehouse, Marketing, and Customer Support to improve accuracy and service quality.
• Communicate with English- and Mandarin-speaking customers, vendors, and internal teams as needed.
