Job summary

ICECO Portable Freezer in Brea, California seeks a Sales Assistant to bridge dealers, Sales, warehouses, and logistics. You will manage B2B orders, shipments, product info, and reporting from order placement through delivery.

The role requires fluency in English and Mandarin and professional communication. This is an in-person position based in Brea, with cross-functional collaboration across departments to ensure accurate, on-time service.

Qualifications

Responsibilities

• Process B2B orders through Shopify, EDI, dealer portals and email; verify products, pricing, shipping, and customer requirements.
• Coordinate small-parcel, LTL, and international shipments with the Sales team and logistics partners.
• Prepare bills of lading and other shipping documents, track deliveries, and resolve delays or damages.
• Maintain the Shopify-based B2B wholesale website (listings, pricing, images, collections, banners, navigation, settings).
• Prepare regular and ad hoc sales, orders, customers, products, shipments, and inventory reports.
• Respond to dealers and B2B clients regarding order status, shipments, product availability, and pricing.
• Monitor inventory and support replenishment, sea freight coordination, and inbound notifications.
• Process returns, generate labels, and issue refunds as requested.
• Collaborate across Sales, Accounting, Warehouse, Marketing, and Customer Support to improve accuracy and service quality.
• Communicate with English- and Mandarin-speaking customers, vendors, and internal teams as needed.

Job Summary

As a Sales Assistant, you will be an important link between our dealers, Sales team, warehouses, freight partners, and internal departments. You will help keep B2B orders, shipments, product information, reporting, and customer communication accurate and on schedule while supporting a smooth experience from order placement through delivery.

This is an in-person position based in Brea, California.

Fluency in both Mandarin Chinese and English is required. Candidates must be able to communicate professionally and effectively in both languages, both verbally and in writing.

• Process B2B orders received through Shopify, EDI platforms, dealer portals, and email; verify products, pricing, shipping information, and customer requirements.
• Coordinate small-parcel, LTL, and occasional international shipments with the Sales team, warehouses, carriers, and logistics partners.
• Prepare bills of lading and other shipping or export documentation, track deliveries, and help resolve delays, damages, and delivery issues.
• Maintain the Shopify-based B2B wholesale website, including product listings, pricing, images, descriptions, collections, banners, navigation, and ordering settings.
• Prepare regular and ad hoc reports covering sales, orders, customers, products, shipments, and inventory.
• Respond professionally to dealers and B2B clients regarding order status, shipment updates, products, inventory availability, and pricing.
• Monitor inventory and support replenishment planning, sea freight coordination, and warehouse inbound notifications.
• Process customer returns, generate return labels, and issue full or partial refunds as requested by Customer Support.
• Work cross-functionally with Sales, Accounting, Warehouse, Marketing, and Customer Support to improve accuracy, efficiency, and service quality.
• Communicate with English- and Mandarin-speaking customers, vendors, and internal teams as needed.

Skills
