Job summary

Jobtailor seeks an experienced Events Coordinator to plan and execute festival logistics for Sundance events. You will coordinate guest lists, invitations, and communications with hosts, and develop run of show plans and programs.

You will manage budgets, liaise with venues and vendors, and oversee volunteers and staff. The position starts remote with states until January, then requires in-person support in Boulder, Colorado, with full-time hours through February 2027.

Qualifications

  • Legal authorization to work in the United States
  • 3 years experience planning and executing events
  • Outstanding verbal, written, and interpersonal communication skills
  • Strong customer support skills, including the ability to mitigate conflict and facilitate positive customer relations
  • Excellent organizational skills, attention to detail, and ability to prioritize
  • Ability to maintain confidential information
  • Working knowledge of Airtable and Google Workspace including Google Drive, Docs, Sheets, and Calendar
  • Familiarity with online events using Zoom Webinar or equivalent

Responsibilities

  • Plan and implement logistical needs for assigned Sundance Film Festival events
  • Create and edit event invitations using the Zkipster platform
  • Work with event hosts on guest list curation, invitation copywriting, and communication timelines
  • Develop and execute event programs, including run of shows and program remarks
  • Maintain and update event budgets and support department budget and expense tracking
  • Communicate with venue managers, vendors, and the Festival Operations team regarding event structure and needs
  • Support Event Department projects and team members' event execution tasks
  • Coordinate event collateral with Marketing, including messaging, design, feedback, approvals, ordering, and material compilation
  • Document event details, including BEOs, evaluation sheets, alcohol sheets, vendors, correspondence, attendance, and issues
  • Provide event management to deliver successful events
  • Manage volunteer and staff support, including volunteer coverage, schedules, evaluations, and responses to inquiries
  • Obtain permits, equipment rentals, production assistance, signage, security, and evacuation plans
  • Oversee ordering, delivery, and return of equipment and furniture
  • Keep stakeholders updated on planning, schedules, and logistical needs, including signage, sponsor activations, photography and content, and guest transportation
  • Complete a comprehensive written wrap report
  • Support Event Department operations and the Manager and Associate Director of Event Operations as assigned

  • Ability to work full time, 40 hours per week, from Wednesday, October 14, 2026 to Friday, February 19, 2027
  • Ability to work extended hours, including evenings and weekends
  • Ability to work remotely out of any of the Institute's operating states until January, then work in Boulder, Colorado for in-person Festival support
