Job summary

Sundance Institute seeks a Festival Coordinator, Theater Operations in Boulder to coordinate logistical duties for the Theater Operations (TOPS) Department and support a successful in-person Festival experience. The role requires hybrid onsite work, with duties across inventory, signage, and vehicle fleet management.

Key responsibilities include coordinating office setup, managing supplies, and ensuring accurate team communications.

Qualifications

  • Legal authorization to work in the United States.
  • Valid driver’s license and successful completion of MVR background check.
  • 2 years experience in venue or event operations or related.
  • Outstanding verbal, written, and interpersonal communication skills to work effectively with a variety of people.
  • Excellent organizational skills and the ability to prioritize.
  • Ability to move items up to 50 lbs.
  • Working knowledge of databases along with proficiency in Google Products preferred.
  • Knowledge of the Boulder area is a plus.

  • Supporting the setup of the Theater Operations festival office: desk space(s), supplies, furniture needs, and technology installation.
  • Overseeing TOPS supplies and equipment by inventorying current items, and confirming the budget, managing order deadlines, and facilitating delivery schedules for new items.
  • Supporting the ordering, tracking of inventories, and distributing of theater signage as directed.
  • Distributing film posters to assigned theaters as directed by the Press Office.
  • Supporting the management of the Theater Operations department vehicle rental fleet.
  • Creating a system to maintain and distribute accurate team contact information, schedules, locations, and calendars.
  • Inventorying and distributing venue keys to various departments pre-festival, then collecting, inventorying, and returning the venue keys post-festival.
  • Coordinating with the Production team during theater load-ins/load-outs to receive inventory (rental and owned equipment), and to develop a schedule for equipment moves and build-outs.
  • Coordinating and conducting daily runs for equipment and supply deliveries for all theaters.
  • Assisting the team with timelines, inventorying, ordering, and special screenings, as directed.

Festival Coordinator, Theater Operations

The Festival Coordinator, Theater Operations is charged with coordinating logistical and operational duties to support the Theater Operations (TOPS) Department.

Working closely under the direction of the Senior Manager, Production and Theater Operations and the Festival Manager, Theater Operations, the Coordinator supports Sundance Institute’s commitment to fulfilling the vision of a successful and positive in-person Festival experience for all artists and patrons.

This temporary position works full-time (40 hours per week) from Monday, September 21, 2026 to Wednesday, February 24, 2027 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Boulder, CO office in order to work onsite in a hybrid capacity throughout its employment.

Top priorities include but are not limited to…

You have the following direct or transferable skill sets:

Legal authorization to work in the United States.

Valid driver’s license and successful completion of MVR background check.

2 years experience in venue or event operations or related.

Outstanding verbal, written, and interpersonal communication skills to work effectively with a variety of people.

Excellent organizational skills and the ability to prioritize.

Ability to move items up to 50 lbs.

Working knowledge of databases along with proficiency in Google Products preferred.

Knowledge of the Boulder area is a plus.
