Job summary

Sundance Institute in Boulder, CO is seeking a Festival Coordinator, Lounges to assist in planning, staging, and managing venue lounges during the festival. You will open and close the venue, support stakeholders, and work under the Festival Manager, Venue Operations.

This temporary, full-time role runs 11 November 2026 through 12 February 2027, with extended hours including evenings and weekends. The job is based at the Boulder office in a hybrid onsite capacity, with duties ranging from setup

Qualifications

  • Legal authorization to work in the United States.
  • Valid driver’s license and successful completion of MVR background check.
  • 2 years experience in venue, event operations, or related.
  • Outstanding verbal and written communication skills to work effectively with a variety of people.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential information.
  • Ability to lift and carry items up to 50 lbs.
  • Working knowledge of databases along with proficiency in Google Products and Microsoft Visio preferred.

Responsibilities

  • Coordinating set-up, teardown, ordering equipment, furniture needs, signage installation, etc., by set deadlines.
  • Planning and communicating venue needs to internal stakeholders to ensure the venue is up and running by a set deadline.
  • Updating Lounge Visios and spreadsheets, including maps, diagrams, equipment needs, timelines, etc.
  • Scheduling meetings with internal stakeholders to review and update their needs.
  • Collaborating with the events team on any event needs beyond the venue's standard operations.
  • Building the “How-to” document for venue use.
  • Creating a photo gallery of the space, both pre- and post-Festival, for documentation purposes. Capturing photos of the space showing standard setup, signage, and change-overs, as well as documenting existing and new damage to the venue.
  • Providing daily operational support to ensure successful operations, including performing walkthroughs, removing snow, cleaning, organizing, and opening and closing the venue daily.
  • Assisting vendors and movers with equipment and furniture deliveries and pickups as necessary.

The Festival Coordinator, Lounges collaborates in the operational planning, implementation, and management of departmental Lounges. This position opens and closes the venue and provides the necessary support to the stakeholders.

Working closely under the direction of the Festival Manager, Venue Operations, the Festival Coordinator, Lounges supports Sundance Institute’s commitment to delivering a successful and positive Festival experience for all attendees.

This temporary position works full-time (40 hours per week) from Wednesday, November 11, 2026 to Friday, February 12, 2027 and will be required to work extended hours, including some evenings, weekends, and holidays, to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Boulder, CO office in order to work onsite in a hybrid capacity throughout its employment.

You have the following direct or transferable qualifications and skills:
