  • Experience reviewing contracts and ensuring vendor and staff accountability to high performance standards.
  • Experience reviewing leases and maintaining strong tenant relationships.
  • Experience reviewing financial statements and budgeting processes.

  • Perform administrative duties including lease review, notices, and file management.
  • Process invoices promptly and follow up on delinquent accounts.
  • Draft notices, approvals, and tenant communications.
  • Draft maintenance and consulting agreements, purchase orders, and change orders.
  • Assist with monthly financial reviews, budgeting, and CAM reconciliations.
  • Support capital expenditures, major projects, and tenant improvements with records and walk-throughs.
  • Prepare tenant improvement files and verify lease compliance.
  • Track lease delivery, renewal, and extension dates with leasing teams.
  • Partner with Property Managers during site visits and action-item follow-ups.
  • Build relationships with internal and external partners.

Assistant Property Manager Job Summary

The Assistant Property Manager supports property management, accounting, leasing, legal, and development functions. This role promotes efficient operations by implementing standardized processes and procedures, coordinating tenants and vendors, supporting financial activities, and maintaining strong relationships with internal and external partners.

Responsibilities
  • Coordinate tenants and vendors, maintain positive tenant relationships, respond to inquiries promptly, and oversee vendor contracts to ensure work is completed on schedule and according to contract terms.
  • Perform administrative duties, including lease review and interpretation, lease change notices, certificates of insurance collection, sales collections, file management, and internal and external correspondence.
  • Process invoices promptly and follow up on delinquent accounts receivable.
  • Draft demands, default notices, approvals, tenant communications, and other property- or lease-related notices.
  • Draft maintenance contracts, construction and consulting agreements, purchase orders, and change orders.
  • Assist with monthly financial reviews, pre-close meetings, budgeting, common-area maintenance reconciliations, and audits.
  • Support the oversight of capital expenditures, major projects, and tenant improvements by tracking schedules, posting required notices, collecting closeout documents, coordinating final walkthroughs, and maintaining project records.
  • Prepare tenant improvement allowance files and verify compliance with lease requirements.
  • Track new lease delivery dates, renewal dates, and extension option dates in coordination with leasing and property management teams.
  • Partner with Property Managers during property visits and follow up on action items.
  • Build effective relationships and collaborate with internal and external partners.
Requirements
  • Bachelor s degree required;real estate license preferred.
  • At least one year of commercial or retail real estate experience as an Assistant Property Manager.
  • Experience reviewing contract terms and holding vendors and staff accountable to high performance standards.
  • Experience supporting diverse tenant portfolios, reviewing leases, and maintaining strong tenant relationships.
  • Experience reviewing financial statements and participating in budgeting, common-area maintenance reconciliations, and planning processes.
  • Proficiency in Microsoft Excel, Word, and Outlook;Yardi experience preferred.
  • Skill Strong interpersonal, verbal, and written communication skills.
  • Excellent organizational, time management, and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Proactive approach with the ability to take initiative and work independently.
  • Resourcefulness and adaptability when processes or departmental priorities change.
  • Ability to manage multiple deadlines and complete deliverables promptly.
