Job Details

  • Reports to: Operations Manager
  • Status: Exempt
  • Pay Range: $43,888-$56,130 annually

Outcome of the Role

The Assistant Manager is responsible for achieving patient and organizational goals by managing front office processes, optimizing scheduling, and assisting with human resource functions within a pediatric dental, vision, and orthodontic practice. This role supports the organization’s core values and focuses on delivering high-quality, compassionate healthcare, building a positive community within the practice, and ensuring efficient office operations.

Key Responsibilities

  • Manage front office processes, including scheduling, patient flow, and administrative tasks
  • Support human resources functions such as managing employee files, verifying insurance benefits, overseeing timesheets, and supervising front desk staff
  • Improve office processes through innovative thinking
  • Ensure compliance with all laws and regulations, including HIPAA
  • Build a team culture that fosters satisfaction and retention
  • Provide excellent customer service, greeting patients, answering inquiries, and creating payment plans
  • Complete administrative tasks accurately and timely
  • Collaborate with the support center team on programs and initiatives
  • Support a positive, collaborative, and respectful work environment

Minimum Qualifications

  • High school diploma or GED required; Associate’s Degree preferred
  • At least one year of administrative experience
  • Experience in a medical practice and project management preferred
  • Availability to work weekends
  • Intermediate knowledge of Microsoft Office

Desired Qualifications

  • Associate’s Degree preferred
  • Strong interpersonal and problem-solving skills
  • Ability to multitask and work efficiently
  • Knowledge of ECW/Dolphin Database and order processing systems is a plus

Physical Requirements

Full range of motion, ability to sit, walk, stand, talk, hear, and lift up to 25 pounds.

Work Environment

Professional healthcare setting with exposure to blood, bodily fluids, and infectious pathogens. Use of protective equipment required.
