First Coast Association Management is going through a number of changes while celebrating their 20-year anniversary serving Jacksonville. FCAM's former ownership group has turned over. There is a fresh look, a fresh feel, and fresh atmosphere entering their next 20.

Job Summary :

The Community Association Management Assistant provides comprehensive administrative and operational support to Senior Community Association Managers. This role involves assisting with architectural review board (ARB) processing, covenant enforcement, board packet preparation, and responding to homeowner inquiries related to architectural reviews and covenant matters. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills to support the efficient management of community association operations.

Key Responsibilities :

  • Architectural Review Board (ARB) Processing :
  • Process and review ARB applications, ensuring completeness and compliance with community guidelines.
  • Communicate with homeowners regarding the status of their ARB applications, providing updates, approvals, or requests for additional information.
  • Maintain accurate records of ARB submissions and decisions.
  • Assist in monitoring and enforcing community covenants, including reviewing violation reports and coordinating with homeowners.
  • Respond to homeowner inquiries regarding covenant violations, providing clear and professional communication.
  • Document covenant enforcement actions and maintain organized records.
  • Board Packet Preparation :
  • Compile and prepare board meeting packets, including agendas, reports, financials, and other relevant documents.
  • Ensure all materials are accurate, complete, and distributed to board members in a timely manner.
  • Homeowner Communication :
  • Serve as a point of contact for homeowners, responding promptly and professionally to inquiries related to ARB, covenants, and other community matters.
  • Foster positive relationships with homeowners through clear and courteous communication.
  • General Administrative Duties :
  • Maintain organized filing systems, both digital and physical, for all community association records.
  • Assist with preparing reports, notices, and other documentation as required.
  • Perform other duties as assigned to support the overall goals of the community association.
