Intellias is seeking an experienced IT Asset Management Analyst to support a leading Fortune 500 technology solutions provider serving business, government, education, and healthcare organizations across the United States, United Kingdom, and Canada.
The IT Asset Management Analyst will support the end-to-end management of enterprise hardware and software assets. This role is responsible for maintaining accurate lifecycle, inventory, entitlement, ownership, contract, and compliance information within ServiceNow and related systems.
You will work closely with IT, Procurement, Finance, Security, Vendor Management, Service Desk, Infrastructure, and other business teams to strengthen asset governance, improve data quality, support audit readiness, reduce risk, and optimize technology investments.
The ideal candidate has hands-on experience with IT Asset Management (ITAM), Hardware Asset Management (HAM), Software Asset Management (SAM), and ServiceNow, along with strong analytical and communication skills.
Responsibilities
- Hardware Asset Management
- Manage hardware assets throughout the full lifecycle, including procurement coordination, receiving, inventory, deployment, assignment, transfer, refresh, reclamation, retirement, and disposal.
- Maintain accurate hardware asset records, including serial numbers, models, assigned users, locations, stockrooms, lifecycle status, ownership, and financial information.
- Coordinate receiving, tagging, physical inventory, stockroom activities, asset audits, and reconciliation.
- Process asset transfers, returns, recoveries, reassignments, upgrades, and lifecycle exceptions.
- Support laptop refresh, asset reclamation, redeployment, and secure disposal programs.
- Investigate and resolve missing, duplicate, unmatched, or inaccurate hardware records.
- Maintain appropriate chain-of-custody documentation and ensure assets are handled according to established policies and controls.
Software Asset Management
- Support software requests, license availability reviews, allocations, assignments, reclamation, and retirement.
- Maintain software models, entitlements, installation records, license allocations, contracts, renewals, application ownership, and lifecycle information.
- Monitor software usage, consumption, entitlement positions, compliance, and optimization opportunities.
- Partner with Procurement, Finance, Vendor Management, application owners, and suppliers to support software purchases and renewals.
- Identify unused or underutilized software licenses for reclamation, reuse, or cost avoidance.
- Maintain complete and traceable software records to support internal reviews and vendor audits.
- Support software catalog governance and ensure approved application information remains accurate and current.
Data, Governance & Reporting
- Reconcile asset information across ServiceNow, discovery platforms, procurement records, inventory sources, and supporting systems.
- Monitor and improve asset data completeness, accuracy, consistency, and timeliness.
- Develop and maintain reports, dashboards, metrics, and KPIs related to inventory health, lifecycle performance, compliance, utilization, reclamation, and cost optimization.
- Investigate data discrepancies, identify root causes, and coordinate corrective actions with appropriate teams.
- Support audit readiness through accurate records, supporting evidence, documentation, and repeatable controls.
- Create and maintain standard operating procedures, process flows, work instructions, and governance documentation.
- Participate in ServiceNow enhancements, workflow improvements, integrations, automation, and continuous improvement initiatives.
- Provide customer-focused support for asset-related questions, requests, and escalations.
Required Qualifications
- Associate or bachelor’s degree in Information Technology, Business, Supply Chain, Finance, or a related field, or an equivalent combination of education and relevant experience.
- Professional experience in IT Asset Management, Hardware Asset Management, Software Asset Management, IT operations, inventory management, procurement, service management, or a related discipline.
- Working knowledge of hardware lifecycle management, inventory controls, reconciliation, chain of custody, and asset data-quality practices.
- Understanding of software licensing concepts, including entitlements, deployments, allocations, contracts, renewals, compliance, and license optimization.
- Experience with ServiceNow ITAM, CMDB, ITSM, or a comparable enterprise asset management platform.
- Strong Microsoft Excel skills with the ability to analyze, reconcile, and present operational data.
- Strong analytical, problem-solving, organizational, documentation, and time-management skills.
- Excellent written and verbal communication skills with the ability to collaborate across technical and business teams.
- Ability to manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail.
Preferred Qualifications
- Experience with ServiceNow Hardware Asset Management Professional (HAM Pro) and/or Software Asset Management Professional (SAM Pro).
- Experience with discovery or endpoint management technologies such as Microsoft Intune, Microsoft Configuration Manager, or Jamf.
- Knowledge of ITAM, ITIL, software licensing, compliance, audit, and governance practices.
- Experience with vendor management, contract administration, procurement, financial analysis, or technology cost optimization.
- Experience developing asset-management reporting, metrics, dashboards, and KPIs.
- ITIL Foundation, Certified IT Asset Manager (CITAM), Certified Hardware Asset Management Professional (CHAMP), Certified Software Asset Manager (CSAM), or a comparable certification.
