Job Summary
Our home health agency is seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, and serve as a key point of coordination between clinical staff, clients, caregivers and external healthcare partners. Ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling, documentation, and communications that keep the agency compliant and running smoothly, while helping ensure clients and families feel supported throughout their care journey. The ideal candidate is highly organized with excellent written and verbal communication skills along with a friendly demeanor.
Responsibilities
- Answer incoming phone calls, and route inquiries from clients, families, referral sources, and staff.
- Schedule and coordinate appointments, field clinician visits, caregiver assignments, and adjusting for last minute changes.
- Support billing functions such as verifying Medicaid and insurance information, preparing invoices, and tracking payments.
- Assist with credentialing and onboarding paperwork for new clinical and administrative hires.
- Prepare reports, meeting minutes, and other correspondence as needed.
- Order and manage office supplies and equipment inventory.
- Maintain and update records in the agency's EHR (electronic health records) system.
- Support survey readiness by helping maintain organized, audit-ready files.
- Maintain an accurate and organized client and employee filing system. Ensuring documentation meets state, federal, and HIPAA requirements.
- Develop, update, and maintain relevant office procedures (incoming/outgoing correspondence, intake paperwork, physician orders, and Medicaid documentation.)
Qualifications
- High school diploma/GED required, administrative training is preferred
- 1-2 years of administrative or clerical experience, preferably in home health, hospice, or a medical office setting.
- Working knowledge of HIPAA regulations and client confidentiality standards.
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word/Google Docs, Email, PowerPoint/Google Slides, comfortable learning EHR software.
- Strong organizational, multitasking, and written/verbal communication skills.
