Job summary

ServiceNow is seeking an Executive Administrative Assistant to the Global Partnerships & Channels (GPC) Leader. This AI-forward role partners with the executive to maximize calendar efficiency, coordination of internal and external engagements, travel logistics, and high‑velocity scheduling across a worldwide ecosystem of customers, partners, and leaders.

The position requires 7+ years supporting senior executives, proficiency with AI EA tools, and a strong track record of driving productivity

Qualifications

  • Certification in Certified Administrative Professional (CAP) or equivalent administrative credential preferred.
  • 7+ years of progressive experience supporting senior executives, preferably at the SVP, EVP, or C‑suite level in a global technology, high‑growth, or similarly fast‑paced environment.
  • Demonstrated proficiency with AI‑enabled Executive Assistant (AI EA) tools and platforms. This is a core requirement of the role—not simply general familiarity or fluency with AI.
  • Proven experience personally incorporating AI EA tools into executive administrative workflows such as complex calendar and scheduling management, meeting preparation, executive briefing, action tracking, follow‑up, travel, communications, and productivity management.
  • Broader proficiency with generative AI, workflow automation, and productivity technologies, with the ability to combine these capabilities with specialized AI EA tools.
  • Demonstrated success supporting a global executive operating at exceptional speed, with complex stakeholder demands and priorities that can change rapidly.
  • Exceptional agility, adaptability, and flexibility, including the ability to reprioritize and execute quickly without sacrificing accuracy.
  • Exceptional attention to detail and a demonstrated record of accuracy in high‑volume, high‑velocity executive environments.
  • Advanced ability to manage highly complex global calendars and make independent prioritization decisions with limited direction.
  • A productivity and continuous‑improvement mindset: instinctively identifies opportunities to simplify, automate, standardize, eliminate unnecessary work, and improve how the executive office operates.
  • Exceptional judgment, discretion, executive presence, and ability to manage highly sensitive and confidential information.
  • Strong written and verbal communication skills and confidence engaging with senior internal executives, customers, partners, and external stakeholders.
  • A highly anticipatory working style—the ability to recognize what is needed, understand implications, and act before being asked.
  • Ability to remain composed and highly effective amid ambiguity, urgency, last‑minute change, and competing demands.

Responsibilities

  • Own a highly complex, dynamic global executive calendar involving C‑suite leaders, senior internal executives, customers, strategic partners, industry leaders, and employees.
  • Manage the calendar as a strategic business tool, ensuring executive time is aligned to the highest‑value business, customer, partner, talent, and leadership priorities.
  • Make rapid, thoughtful decisions when priorities change, understanding what can move, what cannot move, who needs to be informed, and what downstream implications must be addressed.
  • Anticipate conflicts, preparation requirements, decision points, travel implications, and follow‑up needs before they become issues.
  • Reprioritize quickly and confidently in an environment where the executive’s schedule may change multiple times in a day.
  • Protect focus time while preserving the flexibility required of a highly visible global leader.
  • Orchestrate internal and external executive engagements from initial request through preparation, execution, and follow‑up.
  • Coordinate engagements with ServiceNow executives, customers, partners, industry leaders, external organizations, and other high‑priority stakeholders.
  • Ensure the executive enters critical engagements with the right context, objectives, participants, materials, logistics, and preparation.
  • Maintain visibility to commitments and follow‑up resulting from executive engagements and ensure actions move forward quickly.
  • Coordinate across executive offices and external organizations to create a highly professional, responsive, and seamless stakeholder experience.
  • Represent the GPC Leader with discretion, confidence, sound judgment, and strong executive presence.
  • Enable the operating rhythm of the GPC leadership team, including leadership meetings, business reviews, planning sessions, executive offsites, talent discussions, company events, and key partner engagements.
  • Partner closely with the Chief of Staff to translate business priorities into an effective executive cadence and use of the leader’s time.
  • Maintain a working understanding of GPC priorities, key decisions, leadership commitments, and upcoming milestones so administrative decisions can be made with appropriate business context.
  • Connect meetings, decisions, commitments, and follow‑up rather than treating individual calendar events as isolated activities.
  • Anticipate what the leader and leadership team will need next and initiate action without waiting for direction.
  • Coordinate cross‑functional executive office partnerships with HR, Finance, Strategy, and other key functions.
  • Global Travel & Executive Logistics: manage complex domestic and international travel and associated logistics.
