Job summary

Briarwood Detox seeks an Admissions Coordinator to be the first voice in a person’s recovery, handling inquiries and determining admission suitability from home.

Fully remote with a fixed Wednesday-to-Sunday schedule (11am–8pm) and reliable internet; you will coordinate with clinical teams and log each touch in our systems to ensure a smooth admissions process.

This role emphasizes clear communication, patient education, and helping clients navigate benefits and next steps in treatment.

Responsibilities

• Respond to phone and email inquiries promptly and professionally.
• Ask screening questions to gather complete clinical, medical and insurance information.
• Read a benefit verification and generate an accurate client quote.
• Coordinate with clinical and operational teams to inform admission decisions.
• Log every touch in BestNotes, Lightning Step and Pipedrive to prevent lost leads.
• Help clients who cannot be admitted find alternatives and follow up.
• Educate clients and families on programs and provide virtual tours.
• Coordinate transportation logistics when needed.

Job description

The Admissions Coordinator is the first human voice in someone’s recovery. You take the inquiry, ask the questions that decide whether we can help, and either start the admission or find the person somewhere that can — all from home.

Schedule

• Wednesday to Sunday, 11am to 8pm, with an hour for lunch.
• Fully remote. You need reliable high-speed internet and a backup, such as a hotspot.
• Consistent hours — the schedule is the schedule, not a rota that moves.

What you will do

• Respond to phone and email inquiries promptly and professionally.
• Ask the screening questions that gather complete clinical, medical and insurance information.
• Read a benefit verification and generate an accurate client quote.
• Coordinate with clinical and operational teams so admission decisions are made on full information.
• Follow up with prospective clients by phone, email and post, logging every touch in BestNotes, Lightning Step and Pipedrive so no lead is lost.
• Help people we cannot admit find somewhere that can take them, and follow up on that too.
• Educate clients and families on the programs, and give virtual tours when asked.
• Coordinate transportation logistics when they are needed.

Required

• Strong communication and customer service — this is the job, not a soft skill beside it.
• Proficiency with Pipedrive and Lightning Step.
• The ability to read a benefit verification and quote from it accurately.
• Enough technical confidence to troubleshoot your own internet and computer problems.
• Reliable high-speed internet with a backup connection.

Preferred

• Prior experience in healthcare admissions, behavioral health or a related field.
• Comfort multitasking in a fast-paced remote environment without losing the detail.
