Responsibilities

  • Front-Line Service: Serve as the primary front desk representative, greeting visitors and handling phone/general inquiries with great customer service.
  • System Management: Manage daily processes within the Slate communication system.
  • Event & Logistics: Coordinate logistics for campus tours, admissions events, and other recruitment activities.
  • Administrative Support: Assist with application processing and data entry, and supervise student workers.
  • Department Support: Provide administrative help to Science, Math, Business, Public Service, and IT.
  • Faculty/Advising: Coordinate adjunct faculty onboarding paperwork and schedule/coordinate advising appointments and calendars.
  • Instructional Materials: Prepare and distribute instructional materials like syllabi, exams, and handouts.
  • Technology/Proctoring: Assist with instructional technologies (Blackboard) and proctor exams or cover classes when necessary.

Description

Role Summary: The Admissions and Academic Department Assistant provides essentialadministrative and customer service support to both the AdmissionsOffice and selected Academic Departments, including Science, Math,Business, Public Service, and IT. This dual-role position isdesigned to ensure efficient office operations, maintain front-lineservice coverage, and support faculty, students, and prospectivestudents. The assistant will manage communications systems,facilitate academic and event coordination, and handle day-to-dayadministrative tasks, all while exemplifying a high standard ofprofessionalism and service. Approximately 70% of the position isdedicated to Admissions-related functions, with the remaining 30%providing support to academic departments.

Responsibilities:
Admissions Focus (70%)
  • Front-Line Service: Serve as the primary front deskrepresentative, greeting visitors and handling phone/generalinquiries with great customer service.

Required & Preferred Qualifications:
Essential (Required)
  • Education: High school diploma or GED.
  • Technical Skills: Proficiency with Microsoft Office Suite (Word,Excel, Outlook, PowerPoint).
  • Soft Skills: Strong written and verbal communication, excellentorganizational and multitasking abilities, and demonstratedcustomer service orientation.
  • Professionalism: Ability to handle sensitive and confidentialinformation with discretion.
Preferred
  • Education/Experience: Associate's or Bachelor's degree and/or experience working in higher education.
  • System Knowledge: Familiarity with Slate (or other CRM/admissionssystems) and Blackboard (or other learning managementsystems).
