Oklahoma State University—Watson Graduate School of Management is seeking an Administrative Support Specialist to serve as an essential hub for MBA program operations at OSU-Stillwater.

You will help deliver programs, events, and services for graduate students, collaborating with leadership and staff to ensure smooth daily operations and success in engagement activities with students, faculty, and alumni.

Qualifications

  • High School/GED (degree must be conferred on or before agreed upon start date).
  • Administrative Support Specialist I requires 1 year of clerical/customer service experience.
  • Administrative Support Specialist II requires 2 years of clerical/customer service experience.
  • Administrative Support Specialist Sr requires 3 years of clerical/customer service experience.

Responsibilities

  • Coordinate travel and process reimbursements for academic leadership.
  • Support payroll setup for Graduate Teaching Assistant assignments.
  • Provide primary event support for MBA events, including Advisory Board meetings and career fairs.
  • Assist with market-ready events such as Graduate Hooding Ceremony and awards luncheons.

About This Position

Join the Watson Graduate School of Management and play a vital role in shaping an exceptional Graduate student experience. This dynamic position serves as the operational hub for the MBA Program, providing high-level administrative support to Graduate school leadership while helping deliver impactful programs, events, and services that contribute to student success.

As a key member of the team, you will collaborate with the WGSM Director, MBA Program Director, MBA Program Manager, MBA Program Advisor, and MBA students to ensure the seamless execution of daily operations while providing primary event support for MBA events, including Advisory Board meetings, employer networking and student engagement events, orientation, case competitions, and the Graduate Awards Luncheon. You will also contribute to milestone experiences such as the Graduate Hooding Ceremony, professional development programs, and campus-based career fairs.

This role is perfect for someone who thrives in a fast-paced environment, enjoys building relationships, and excels at managing multiple priorities.

Required Qualifications

  • Administrative Support Specialist Sr - HS/GED and 3 years of clerical/customer service experience.
Preferred Qualifications

Post-secondary education may substitute for years of required experience.

  • Bachelor's
  • Bachelor's degree and two to three years of clerical/customer service experience
  • Skills, Proficiencies, and/or Knowledge: Familiarity with computers and processing software, telephone etiquette and interacting with international students.
