About the Role
Join our dynamic team as an Administrative Assistant and become the backbone of daily operations. You’ll work closely with leaders and staff to keep everything running smoothly, allowing the organization to focus on delivering impactful health and wellness solutions.
Responsibilities
- Manage executive calendars, schedule meetings, and coordinate conference rooms to optimize time and resources.
- Prepare, edit, and distribute internal and external communications, including reports, presentations, and correspondence.
- Organize travel arrangements, itineraries, and expense reports for staff and visitors.
- Maintain accurate filing systems—both digital and physical—and ensure confidential information is securely handled.
- Track office supplies, place orders, and liaise with vendors to keep the workplace fully stocked and functional.
- Support project teams by gathering data, creating status updates, and following up on action items.
- Serve as the first point of contact for clients and partners, delivering courteous and professional service.
Requirements
- High school diploma or equivalent; associate degree or higher preferred.
- Minimum of 2 years proven experience in an administrative or office support role.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with cloud‑based collaboration tools.
- Strong written and verbal communication skills with meticulous attention to detail.
- Excellent organizational abilities and the capacity to prioritize multiple tasks under tight deadlines.
- Demonstrated discretion in handling sensitive information and maintaining confidentiality.
- Reliable problem‑solving mindset and the ability to work independently as well as part of a team.
Nice to Have
- Experience with project management software such as Asana, Trello, or Monday.com.
- Familiarity with the health and wellness industry or related regulatory environments.
- Bilingual proficiency, especially in Spanish, to support a diverse client base.
- Advanced Excel skills, including pivot tables and data visualization.
- Prior exposure to CRM systems or client relationship platforms.
