We are currently recruiting for an Administrative Specialist II at Central Regional Hospital (CRH).

This position serves as the Administrative Assistant to the Chief Medical Officer of Central Regional Hospital. This position also provides administrative and clerical support to the CRH Medical Staff, Continuing Medical Education, Medical Staff Committees, Residency Training functions, and Medical Division Departments, including liaising between supporting units, Business/Budget Offices, Purchasing, Accounts Payable, and vendors.

The Chief Medical Officer directs all medical, dental and psychiatric services and has overall responsibility for the quality of patient care. The Chief Medical Officer provides for the proper clinical supervision and performance evaluation of all clinical staff members, in collaboration with the medical staff.

The Chief Medical Officer’s Office also serves as the Medical Staff Office, the Medical Staff Credentialing Office, the Continuing Medical Education (CME) Office, the Research Committee (Institutional Review Board [IRB]) Office and Residency Training Office.

Job Duties Include But Are Not Limited To

  • Answering the telephone for the Chief Medical Officer's office.
  • Typing correspondence.
  • Typing meeting minutes.
  • Keeps track of all licenses (Medical license, DEA license). Ensures that staff are aware when they need updating and reminds Medical Staff as necessary, requesting copies for their Medical Staff records.
  • Sends out letters and applications for credentialing, requesting copies of pertinent information for their records.
  • Sends out notices of Continuing Medical Education Meetings.
  • Process requisition of supplies and equipment for units supported by the position.
  • Assist, as requested, in stocking of supplies for units.
  • Assist, as requested, in the inventory of supplies for units.
  • Assist, as requested, in Invoice Processing.
  • Liaison between supporting units, Business/Budget Offices, Purchasing, Accounts Payable and vendors.
  • Enter data into eProcurement and monitor orders submitted.
  • When required, order items via P-Card and monitor orders submitted.

The normal work hours for this position are 8:00 a.m. to 5:00 p.m. Monday - Friday however flexibility is required to meet hospital needs. This is a full-time position and eligible for the full State benefits package including health insurance and retirement. This position is designated Mandatory and must report or stay over during adverse weather.

Knowledge, Skills And Abilities / Competencies

  • Experience scheduling and coordinating a variety of appointments, meetings and/or conferences.
  • Experience working in a fast-paced professional office setting where planning, prioritizing, and organizing office workflow and procedures are required.
  • Strong communication skills and the ability to answer inquiries independently by clearly conveying information and ideas through a variety of media to a wide range of internal and external customers.

Management Prefers

  • Familiarity with professional credentialing programs.

Minimum Education And Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience;
