Job summary

Mullins Mechanical seeks an Administrative Services Manager to lead the administrative operations across locations, establish scalable processes, and manage insurance, licensing, and vendor qualification activities. Qualifications

  • Bachelor's degree in Business Administration, Operations Management, Public Administration, or related field preferred.
  • 5-10 years of experience in office management, administrative operations, business operations, compliance administration, or related functions.
  • Experience managing multiple administrative functions in a growing organization.
  • Experience supporting multiple locations or geographically dispersed operations preferred.
  • Knowledge of insurance administration, licensing, compliance tracking, and vendor qualification processes.
  • Strong organizational, process management, and documentation skills.
  • Excellent communication, stakeholder management, and problem-solving abilities.
  • Proficiency with Microsoft 365, SharePoint, reporting tools, and business systems.

Responsibilities

  • Oversee administrative operations and office support services across all company locations.
  • Establish standards, policies, and workflows for consistency and efficiency.
  • Develop scalable processes to support office expansion and growth.
  • Lead the Office Management function and administrative support network.
  • Evaluate processes for standardization, automation, and continuous improvement.
  • Provide leadership to Office Managers across locations.
  • Develop onboarding, training, and operating procedures for office personnel.
  • Support planning, setup, and readiness for new offices and satellite locations.
  • Establish service expectations, performance standards, and communication processes.
  • Foster collaboration and knowledge sharing among administrative teams.
  • Oversee administration of corporate insurance programs and renewals.
  • Coordinate with brokers, carriers, and stakeholders for risk management.
  • Maintain insurance records and compliance requirements.
  • Monitor renewal schedules and compliance deadlines.
  • Administer contractor licensing, registrations, and tax obligations.
  • Coordinate with legal, finance, operations to support submissions and renewals.
  • Help establish systems, workflows, and documentation standards for compliance tracking.
  • Maintain accurate compliance records and reporting.
  • Provide status updates to leadership on compliance activities and gaps.
  • Support administration of customer and vendor qualification platforms (Avetta, ISNetworld, Textura).
  • Coordinate documentation and audit responses; maintain qualification records.
  • Identify opportunities to improve process consistency and efficiency.
  • Establish service standards and develop dashboards and visibility tools.
  • Monitor workload trends and resource needs; drive automation initiatives.
  • Lead special projects related to administrative operations and expansion.
