As an Administrative Officer 2, you will provide technical support to employees accessing and posting information on the Department of Health (DOH) SharePoint (SP) sites. You will ensure that employees are being trained on how to use DOH SP workflows. You will have an opportunity to review existing departmental procedures and make recommendations on potential process improvements. In conjunction with the Business Analyst 2, you will guide teams seeking information on adding new content, appropriate uses, and organization of libraries. In addition, you will assist with creating new SP sites; auditing current SP site usage and permissions, storage space, and archiving; and deleting inactive SP sites. You will develop best practices for SP site layouts, permissions, naming conventions, and use; keep an updated inventory of all SP sites and Nintex Workflows; and assist with building new workflows and modifying current Nintex workflows upon program request.
Additionally, you will assist with coordinating and streamlining the invoicing process for the entire agency, which includes developing standardized policies and processes, providing technical assistance, and training other administrative officers on the processes and procedures of entering good receipts and non-purchase order invoices. You will assist the Agency Purchasing Card Coordinator and the Agency Travel Card Coordinator, acting as a liaison between the agency, the card issuer, the Treasury Department, and the Office of the Budget. You will assist with activating purchasing cards and setting appropriate credit limits, as well as ensure deactivation of cards that are no longer in use.
You will also serve as the DGS liaison for security and badging, Commonwealth fleet vehicles, and Capitol Complex parking for the entire agency.
