Job description

Hourly Rate

$18.42 per hour (effective July 1, 2026); non-exempt classification

Duration

Academic Year (Fall/Spring) with the possibility of extension

Work Schedule

Up to 20 hours/week (no more than 999 hours per calendar year). Schedule developed with the Assistant to the Executive Director

Training Period

Two months with the possibility of extension

General Statement

Under the direct supervision of the Assistant to the Executive Director, the Administrative Office Aide provides reception and clerical support to the University-Student Union (U-SU) Administrative Office. The position plays a key role in maintaining a welcoming, organized, and professional environment while assisting with the effective operation of the U-SU Administration Office.

General Duties and Responsibilities
  • Provides a welcoming and professional first point of contact to students, staff, faculty, and visitors.
  • Provides general information and referrals about the U-SU services, programs, meetings, building resources for the campus community.
  • Receives, sorts, and distributes mail and deliveries.
  • Maintains an awareness of all University-Student Union and University activities and events.
  • Assists with preparing agendas, minutes, presentations and materials for the U-SU Board of Directors and staff meetings.
  • Assists with scheduling meeting rooms or appointments as needed.
  • Assists with processing Hospitality and Check Requisition forms.
  • Participates in University-Student Employee Training (U-SET) and department meetings.
  • Maintains cleanliness and organization of the front Administrative Office.
  • Performs other duties as assigned.
Required Qualifications
  • Currently enrolled Cal State LA student with a minimum of 6 undergraduate units and a minimum G.P.A. of 2.0, or graduate student with at least 4 graduate units and a minimum Cal State LA cumulative G.P.A. of 3.0.
  • Willingness to work with an ethnically diverse and culturally pluralistic student body and staff.
  • Ability to interact positively and build effective working relationships.
  • Strong customer service skills and willingness to assist promptly and courteously.
  • Ability to respond to walk-in, phone calls, and email inquiries.
  • Proficient oral, written, and listening skills.
  • Proficient in Microsoft Office Suite.
  • Ability to learn and utilize desktop and web-based applications, and office equipment as needed.
  • Strong organizational skills: the ability to prioritize, complete assigned duties, and routine tasks.
  • Previous customer service or office experience preferred.

The person holding this position is considered a mandated reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
