Youth Advocate Programs, Inc. is seeking an Administrative Manager in Onondaga County to support daily operations for our youth-focused programs. This part-time, hourly role involves payroll, paperwork, and confidential record-keeping, with a flexible schedule including occasional evenings or weekends.

The candidate will work with staff, families, and partners to ensure smooth operations and compliant documentation, leveraging strong organization and communication skills.

Qualifications

  • High School Diploma or GED is required.
  • Associate's Degree is preferred.

Responsibilities

  • Process payroll and maintain related documentation.
  • Prepare, organize, and submit required program paperwork and reports.
  • Maintain confidential participant, personnel, and program records.
  • Support daily office operations and administrative processes.
  • Enter and update information in databases and tracking systems.
  • Communicate professionally with staff, families, service providers, and community partners.
  • Assist with scheduling, filing, record retention, and other administrative functions as needed.
  • Ensure accuracy, organization, and compliance in all documentation.

Job description

Youth Advocate Programs, Inc. (YAP) is a national nonprofit organization dedicated to helping young people and families thrive in their homes, schools, and communities. Since 1975, YAP has partnered with youth justice, child welfare, behavioral health, and education systems to provide individualized, community-based services that create positive outcomes and reduce reliance on institutional placements.

At YAP, every role contributes to our mission. As an Administrative Manager, you will play a critical part in supporting our local team, ensuring smooth day-to-day operations, and helping staff deliver life-changing services to youth and families.

Status: Part Time Hourly

FLSA Classification: Non-Exempt

Hourly Rate: $23.00

Schedule: Up to 10 hours per week with flexibility with occasional evenings and weekends

Summary of the Position: The Administrative Manager provides essential operational and administrative support to the Onondaga County program. This role is ideal for a detail-oriented professional who enjoys organizing information, supporting a team, and helping a mission-driven organization operate efficiently.

The successful candidate will be comfortable managing multiple priorities, maintaining confidential records, and communicating professionally with staff, families, and community partners.

Qualifications/Requirements:

  • High School Diploma or GED required.
  • Associate's Degree is preferred.

Prior administrative, office support, customer service, or related experience

  • Experience supporting a non-profit, healthcare, behavioral health, social services, or human services organization is a plus.
  • Proficiency with Microsoft Office 365 applications, including Word, Excel, and Outlook
  • Strong organizational skills and attention to detail
  • Ability to prioritize tasks and work independently
  • Strong verbal and written communication skills
  • Reliable transportation, valid driver's license, and current auto insurance coverage is required.
  • Bilingual English/Spanish skills a plus.
