  • Ability to handle confidential information and exercise professional judgment.
  • Collaborative, customer-focused team player able to work independently.

Responsibilities

  • Serve as a central administrative point of contact for internal teams, joint venture partners, vendors, and stakeholders.
  • Coordinate calendars, meetings, travel, agendas, presentations, and follow-up communications.
  • Prepare and distribute reports, correspondence, meeting materials, and project documentation.
  • Track action items, approvals, deadlines, and key project deliverables.
  • Maintain organized records, document control processes, and version management.
  • Support onboarding, transfers, terminations, pay additions, and I-9 documentation activities.
  • Assist with accounts payable routing, coding, vendor management, expense reporting, and travel card reconciliations.
  • Provide administrative support for compliance documentation and reporting requirements.

Position Overview

The Administrative Coordinator provides administrative, operational, and project support to office leadership, joint venture partners, and project teams. This role serves as a key point of contact for stakeholder communications, document management, human resources administration, accounts payable support, compliance activities, and office operations while ensuring efficient workflows and exceptional customer service.

District Overview

Kiewit's Southeast District specializes in heavy civil, transportation and water resource markets, and has played a significant role in building infrastructure throughout the fast-growing southeastern United States. Since the 1970s, we have built projects from Maryland to Florida and west to Louisiana. Our operations include highways, airports, mass transit, tunnels, water and wastewater facilities,damsand infrastructure work.

Location

US Virgina Islands- St Croix, Christianhead is the location of this position.

Responsibilities
  • Serve as a central administrative point of contact for internal teams, joint venture partners, vendors, and stakeholders.
  • Coordinate calendars, meetings, travel, meeting logistics, agendas, presentations, and follow-up communications.
  • Prepare and distribute reports, correspondence, meeting materials, and project documentation.
  • Track action items, approvals, deadlines, and key project deliverables.
  • Maintain organized records, document control processes, and version management.
  • Support onboarding, transfers, terminations, pay additions, and I-9 documentation activities.
  • Assist with accounts payable routing, coding, vendor management, expense reporting, and travel card reconciliations.
  • Provide administrative support for compliance documentation and reporting requirements.
  • Coordinate office operations, including mail services, catering, office supplies, equipment, utilities, and vendor services.
  • Monitor shared inboxes and route inquiries appropriately.
  • Handle confidential business and personnel information with discretion.
  • Identify and implement process improvements and support special projects as needed .
  • Perform duties as assigned.
Qualifications
  • 2+ years of administrative, project coordination, office management, or related experience.
  • Associate's degree preferred.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and document management capabilities.
  • Ability to work effectively with employees at all levels, including senior leadership, vendors, and external partners.
  • Experience with accounts payable, expense reporting, and office operations preferred.
  • Ability to maintain confidentiality and exercise professional judgment.
  • Collaborative, customer-focused team player with the ability to work independently.

  • Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
