Responsibilities
Financial & Accounting Management
  • Execute day-to-day bookkeeping, general ledger entries, AP/AR, and bank/account reconciliations using QuickBooks.
  • Prepare GAAP-compliant financial statements, balance sheets, and budget reports for audit readiness.
  • Process timely payroll and maintain detailed records in full regulatory compliance.
  • Collaborate with the Treasurer to develop organized filing systems for all financial documents, checks, pledges, and flower donations.
Church Operations & Facility Administration
  • Oversee daily facility usage, maintenance, IT/network systems, church calendar, and master database.
  • Coordinate, implement, and support church programming, proactively troubleshooting scheduling or logistical conflicts.
  • Recruit, train, and supervise volunteers to ensure smooth event execution and administrative operations.
Executive Support & Pastoral Assistance
  • Provide high-level administrative support to the Rector, including scheduling, research, and information distribution.
  • Deliver welcoming receptionist coverage, managing incoming calls, emails, and mail with a one-business-day response standard.
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive parishioner and personnel matters.
Parish Communications
  • Produce all print and digital communications, including weekly worship bulletins, special services materials, newsletter inserts ("News in the Pews"), and website updates.
  • Coordinate proofing processes with the Rector and Musician to ensure high-quality, error-free publications.
Qualifications & Core Competencies
  • Accounting & Financial Expertise: Verifiable bookkeeping or accounting experience, with strong mastery of double-entry principles, GAAP standards, general ledger maintenance, and financial reporting.
  • Technical Proficiency: High proficiency in accounting software (QuickBooks Online) and advanced Excel skills (formulas, financial modeling, budgeting).
  • Payroll & Reconciliations: Proven track record in payroll processing, AP/AR management, journal entries, and complex account/bank reconciliations.
  • Non-Profit / Public Accounting (Preferred): Familiarity with non-profit accounting standards or public accounting practices.
  • Data & Communication Skills: Ability to analyze financial data, write clear summaries for stakeholders, and maintain pristine, audit-ready records.
  • Organization & Adaptability: Exceptional organizational and multi-tasking skills with sharp attention to detail and strong time-management under pressure.
