Job description

ABM, a leading provider of integrated facility solutions, is seeking an Administrative Assistant (Temporary).

This project lasts 1–2 months with potential for permanent employment.

The Administrative Assistant will support the Chief Engineer and the Engineering departments by developing and implementing a standardized filing and organizational system. You will facilitate its rollout across all engineering departments and provide ongoing maintenance.

Pay: $30.90/hour

The rate varies based on experience, skills, location, and market data.

Shift: Monday–Friday, 8:00 a.m. to 4:30 p.m.

Location: Embarcadero Center, San Francisco, CA

Essential Functions:

  1. Manage calendars, schedule meetings, reserve conference rooms, coordinate conference calls, and handle communications.
  2. Prepare and edit documents, including letters, memos, forms, and policies.
  3. Create standardized filing systems.
  4. Draft correspondence and documents for review.
  5. Provide excellent customer service to internal and external clients.
  6. Answer and screen calls, maintain call lists.
  7. Support administrative tasks like proposal prep, spreadsheets, and presentation materials.
  8. Coordinate meetings, record, and distribute minutes.
  9. Manage mail, develop filing systems, and maintain contacts.
  10. Process expense reports, invoices, and purchase orders.
  11. Order office supplies, perform filing duties at engineering sites, and maintain safety and operating permits files.
  12. Work effectively with engineering staff, handle special projects, data entry, and assist in safety meetings.

Qualifications:

  • 3–5 years of relevant administrative experience and project support.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills, ability to work independently, and manage multiple priorities.
  • Initiative, leadership, analytical skills, and excellent communication.
  • Ability to interact professionally at all levels and adapt to change.
