We are hiring a highly organized, proactive, and detail-oriented Temporary Administrative Assistant to provide dedicated support to the Executive Vice President of Wholesale. This role is ideal for a seasoned administrative professional who thrives in a fast-paced environment, demonstrates exceptional judgment, and enjoys serving as a trusted partner to senior leadership.
- Hourly pay rate is $32.00
- NYC hybrid 3-4 days onsite
Executive & Administrative Support
- Provide direct administrative support to the EVP of Wholesale and supporting leadership team.
- Manage complex calendars, schedule meetings, and coordinate appointments.
- Prepare for and support leadership and team meetings, including materials preparation and meeting logistics.
- Handle day-to-day administrative activities including maintaining files, coordinating events, and managing operational workflows.
- Serve as a key point of contact for internal and external stakeholders, exercising sound judgment and professionalism.
Travel, Events & Expense Management
- Coordinate domestic and international travel arrangements.
- Manage onsite logistics and planning for leadership meetings, events, and team gatherings.
- Prepare and submit expense reports through Navan with a high degree of accuracy and attention to detail.
- Ensure seamless coordination across leaders, teams, vendors, and business partners.
Reporting & Business Operations
- Prepare, maintain, and update reports, records, presentations, and business documentation using Microsoft Office applications.
- Create executive-level presentations and presentation materials.
- Build and manage budget tracking spreadsheets and assist with organizational charts and team data.
- Maintain accurate records and support operational reporting needs for leadership.
Team Partnership
- Act as a trusted resource for employees and business partners by providing guidance and directing stakeholders to appropriate resources.
- Develop and maintain a strong understanding of organizational processes, tools, and key contacts to support team effectiveness.
- Foster strong working relationships across the organization while helping drive operational excellence.
Qualifications
Required
- 5+ years of experience as an Executive Assistant or in a senior administrative support role.
- Experience supporting senior executives in a corporate environment.
- Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Strong experience creating executive presentations and managing spreadsheets and reporting.
- Excellent written and verbal communication skills.
- Exceptional organizational skills with the ability to manage competing priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Proven ability to handle confidential information with discretion and professionalism.
