About the Construction Company / The Opportunity:
Join a dynamic company in the construction industry supporting executive leadership and business development initiatives. This opportunity combines high-level administrative coordination with CRM management, client relationship support, proposal preparation, and business development reporting. As a Japanese Bilingual Administrative Assistant, you will serve as a key communication link between executives, clients, business partners, and international stakeholders while working on site in Atlanta.
Responsibilities:
- Manage calendars, meetings, scheduling, travel arrangements, and expense reporting for executive leadership.
- Prepare meeting materials, presentations, correspondence, minutes, and executive documentation.
- Coordinate communication with international business partners, clients, and internal departments in Japanese and English.
- Support executive visits, customer meetings, corporate events, trade shows, and community activities.
- Maintain and update CRM systems, including client contacts, opportunities, pipeline information, and business development records.
- Track business development activities, prepare weekly and monthly reports, and follow up on action items.
- Coordinate proposal, presentation, marketing material, and client follow-up activities.
- Manage visitor arrangements and maintain confidential executive and business development information.
Must-Have Skills:
- Business-level English communication skills, both written and verbal.
- Three to seven years of experience as an Administrative Assistant, Sales Coordinator, or in a related role.
- Strong organizational, communication, coordination, and follow-through skills.
- Proficiency with Microsoft Office 365, Word, Excel, PowerPoint, and Outlook.
- Ability to work primarily on site from the Atlanta office.
- Ability to handle confidential information with professionalism and discretion.
Nice-to-Have Skills:
- Experience with CRM platforms such as Salesforce or equivalent systems.
- Previous experience supporting senior executives.
- Background in construction, engineering, manufacturing, or professional services.
- Experience supporting proposal preparation, marketing activities, and business development reporting.
- Experience organizing trade shows, customer events, and community engagement activities.
